WIC Nutrition Aide III – Kalihi-Palama Health Center
Primary Purpose Under indirect supervision, accurately and efficiently certify/recertify WIC participants based upon Federal regulations and State of Hawaii Department of Health WIC policies using the HIWIC computer system. Assists in all aspects of WIC services. Supports the mission, goals and objectives of Kalihi-Palama Health Center.
Essential Duties
Maintain professional customer service toward all participants and staff.
Perform routine clerical duties with ability to type 25 wpm, use fax/scan/copy machine.
Accurately orient participants to the WIC program.
Give directions to KPHC WIC clinic via all modes of transportation.
Able to use audio‑visual equipment for WIC orientation video.
Accurately explain the WIC program/history/foods approved.
Able to accurately and efficiently certify/recertify WIC participants based upon Federal regulations, and State of Hawaii Department of Health WIC policies.
Complete presumptive eligibility whenever possible and schedule follow‑up accordingly.
Can accurately, verbally outline and record all aspects of WIC eligibility requirements, ID, household income eligibility and what documents are required to prove eligibility and Med‑Quest verification.
Use the HIWIC system to perform essential duties and other duties as assigned.
Accurately determine and record first and second authorized caregivers.
Accurately verbally explain e‑WIC card and ability to issue and activate e‑WIC card.
Accurately assist setting participants' PIN.
Able to direct participants in resetting/unlocking e‑WIC PIN using IVR number.
Ability to deactivate card, set appointment for participants to retrieve new card.
Able to retrieve and assess necessary foster care documents and legal guardianship documents.
Follow policies and procedures to issue e‑WIC card and benefits to foster clients.
Accurately record new pregnancy and end of pregnancy.
Accurately complete in‑state WIC transfers and print Verification of Certification (VOC).
Know contact information for other WIC programs to help clients transfer if needed.
Accurately apply for Hawaii WIC, issue e‑WIC card and benefits to out‑of‑state transfers.
Check participants' address/zip and phone number at each visit.
Answer the phone, take messages and return phone calls in a timely manner.
Retrieve phone messages/emails and return calls/email in a timely manner.
Accurately measure, record and interpret anthropometric data.
Accurately measure (Masimo), record and interpret hematological data.
Be effective in motivational interviewing.
Be effective in setting and documenting SMART goals with WIC clients.
Accurately create standard and tailored food packages.
Accurately create Special Authorized food packages with approved authority.
Issue e‑WIC benefits and explain usage.
Correctly verbalize all WIC eligible foods/formula.
Void and re‑issue WIC cards/WIC benefits.
Modify benefit issuance/re‑tailor foods.
Complete nutrition education (NE) contacts for all low‑risk clients, read medical notes, get needed forms and make correct next appointment.
Provide appropriate follow‑up nutrition education counseling to high‑risk clients after seeing the registered dietitian at least once per certification.
Follow Special Formula and Medical Nutritional Products Issuance Guide to complete special authorization in HIWIC with approved authority.
Follow Special Formula ordering, receiving and issuing guidelines.
Look up history of contacts to determine if cards were signed electronically.
Do monthly time study for State Department of Health WIC office.
Provide nutrition education for pregnant women, breastfeeding women and postpartum women.
Provide nutrition education for infants and children (breastfeeding, bottle use, low iron, overweight, underweight, etc.).
Retrieve nutrition education from WICHealth.org and accurately record online nutrition education in HIWIC.
Assess WIC clients and appropriately refer high‑risk clients to the WIC Registered Dietitian.
Call WIC "No Show" list monthly to contact missed appointments.
Send WIC letters for applying to WIC, WIC orientation, and missed appointments.
Retrieve WIC referrals in Centricity (KPHC EMR).
Schedule and complete WIC referrals in HIWIC in a timely manner according to standards.
Appropriately refer WIC clients to Kalihi‑Palama Health Center for additional resources.
Appropriately refer to other community resources/healthcare providers.
Assist with outreach activities.
Document and assist with voter registration.
Document immunization status.
Scan all necessary and required documents in HIWIC.
Accurately document WIC Rights and Responsibilities signature(s) for primary and alternate caregivers.
Able to follow ethical guidelines and assure participant confidentiality on all information (HIPAA).
Able to provide interpretation in proficient language(s).
Regular and reliable on‑site attendance is required.
Other Duties
Observe safety and security procedures; determine appropriate actions beyond guidelines; report potentially unsafe conditions; use equipment and materials properly.
Cooperate with all other staff members in accomplishment of own job duties.
Serve as a team player, exhibiting traits of courtesy, caring, helpfulness and respect.
Maintain positive customer relationships through effective communication and follow‑up.
Perform other related duties and accept responsibility as assigned.
Minimum Qualification Requirements Education
High school diploma or general education degree (GED) required.
BS in Nutrition (preferred).
Experience Previous experience working with children/infants preferred.
Skills/Knowledge
Competent with computers, office machines and office procedures.
Work well with culturally and socio‑economically diverse staff and participants.
Speak and write English well; bilingual preferred.
Willing to be a critical thinker, assume leadership and support the KPHC‑WIC team.
Highly organized; able to do simple accounting, mathematically inclined.
Work calmly and effectively under stressful situations.
A team player.
Able to follow ethical guidelines and assure confidentiality of client information.
Familiar with community resources and programs.
Genuinely want to help WIC participants.
Work alone and with initiative.
Train other staff in HIWIC, WIC and nutrition education.
