Perform a variety of duties with a focus on Accounts Receivable, Accounts Payable, Dispatching, invoicing, maintaining files, and other office functions as needed. Prepare and/or maintain Excel and Word documents for correspondence, forms, orders, etc. Display professionalism and tact on the telephone when talking to customers and other employees. Cross-train in all office administration functions. Perform various other clerical functions as necessary. Review and approve work orders to ensure accuracy and completeness before processing; escalate corrections when needed. Manage 3rd party work order invoicing, billing discrepancies, and invoice uploading in third-party databases. Prepare estimates, process them in third-party databases, and update work orders and opportunities accordingly. Utilize third-party scorecards to assist with SLAs and prevent inappropriate invoices per third-party requirements. Follow the backup service territory structure as outlined in the service territory backup plan. Complete/attend supplemental and HOST training within specified time frames. Submit and track estimates/opportunities to customers and ensure updates are processed in portals. Follow up with customers on estimates (Day 3-5) and review approvals, updating field service work orders and opportunities. Submit parts requests and coordinate with the parts coordinator as needed. Follow up on past-due opportunities, close no response, and adjust work orders to bill for incurred charges; submit vendor invoices as required. Submit non-third-party and third-party estimates/opportunities and update customers once approved; update estimates and parts requests accordingly. Qualifications
Education and Work Experience High school diploma or GED. Desired Education/Experience: Associates Degree in a business-related field is preferred, but not required. Job-Specific Knowledge Knowledge areas related to primary functions include Customer Service, Problem Solving, and Safety at Work with professional telephone etiquette and effective communication. The pay rate will depend on the successful candidate’s qualifications and prior experience. The range for this position is $31.40 - $42.40 per hour. ITW is an equal opportunity employer.
