Legal Secretary

to join their litigation team. This role offers an opportunity to work with accomplished attorneys on high-profile cases in a fast-paced and professional environment.

Position Overview

The Legal Secretary will provide critical administrative support to litigation attorneys and paralegals, ensuring smooth case management and organizational efficiency. The ideal candidate will have significant experience in litigation, possess strong technical skills, and demonstrate a proactive and detail-oriented work ethic.

Key Responsibilities

  • Prepare, proofread, and format a variety of legal documents, including pleadings, discovery, motions, and correspondence.
  • Manage attorney calendars, schedule court deadlines, and coordinate appointments, meetings, and depositions.
  • File documents electronically with state and federal courts via e-filing systems, ensuring compliance with court rules and procedures.
  • Organize and maintain case files, both physical and electronic, ensuring accessibility and accuracy.
  • Assist with trial preparation, including organizing exhibits, coordinating witnesses, and managing trial binders.
  • Communicate professionally with clients, opposing counsel, and court personnel on behalf of attorneys.
  • Process and track client billing, prepare expense reports, and manage invoices.
  • Provide general administrative support, such as arranging travel, preparing timesheets, and handling correspondence.

Qualifications

  • Experience: Minimum of 5 years as a Legal Secretary in a litigation practice group, preferably in a law firm setting.
  • Skills:
    • Proficiency in e-filing systems for state and federal courts.
    • Strong knowledge of litigation procedures, court rules, and deadlines.
    • Excellent organizational and time management skills with the ability to multitask effectively in a fast-paced environment.
    • High proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and legal practice management software.
    • Exceptional written and verbal communication skills.
  • Preferred: Familiarity with document management systems and legal billing software.
