Overview Financial Secretary - Business Office. Full time, 12 month position. Reports to: Chief Financial Officer. Salary: Current Secretary Salary Schedule. Summary The main responsibilities are to perform all duties as assigned by the Chief Financial Officer. These duties should be fulfilled in a responsible, dedicated manner to facilitate communication, problem solving, and record keeping for the district and the public being served. Primary Duties Designs, develops, and implements databases and spreadsheets reflecting pertinent data. Obtains, gathers, and organizes data as needed (including financial data) and puts it into a usable form. Maintains a regular filing system and processes incoming correspondence as instructed. Places and receives telephone calls, records messages, and returns calls when requested. Sorts mail according to schools and departments. Follows procedures which implement operational and fiscal policies. Follows policies and procedures as established by the district office. Processes and prepares purchase orders, payment vouchers, and all other financial documents. Provides support, functions as liaison, and works cooperatively with the staff. Process Payment Vouchers for All schools and the District Office Track federal funds – expenditures, time sheets. Prepares and processes reports in Microsoft Excel for Revenues, federal funds. Processes telephone services, problems, repairs, and work orders for the district. Administer District rental agreements – contracts, rental collections Performs all other related duties as assigned Chief Financial Officer. Qualifications High School Diploma or general education degree (GED). Previous experience as secretary or equivalent preferred. Experience with the First State Financial System (FSF) preferred. Experience with federal grants preferred. Effective skills in computer technology. Effective skills in verbal and written technology. Ability to relate well to staff members.
