Job Title: Executive Secretary for the Business Office

FLSA Classification: Hourly

Work Days: M-F

Standard Hours Per Day: 8

Work Year: 12 Month Position (252 Days) - January 1 to December 31

Reports to: Chief Financial Officer (CFO)

General Summary of Duties: The job of the Executive Secretary to the Business Office is done for the purpose of providing complex and confidential secretarial and administrative support to the Chief Financial Officer to assure the smooth and efficient operation of the Business Office while maintaining the district's compliance with state and federal laws and regulations with respect to accounting and personnel practices.

Requirements

Essential Functions:
  • Assist the Chief Financial Officer with duties as the treasurer of the Corporation.
  • Screen telephone calls and serve as receptionist for the TSC Business Office.
  • Oversee the payment of utilities for the school district.
  • Review and record the corporation's donations.
  • Assist with ordering of supplies, etc. for the central office.
  • Assist Accounts Payable with invoice entry.
  • Serve as support person for the central office copy/print system.
  • Assist the Corporation Reception's duties when necessary.
  • File monthly pay affidavits to the trustees of the TSC Building Corporations.
  • Maintain construction project document files.
  • Prepare monthly clinic invoices for both payment as well as billing to clinic partner.
  • Post the corporation's daily deposit.
  • Ensure compliance with state and federal laws and regulations with respect to school finance practices.
  • Manage the destruction of public records in accordance with local and federal requirements.
  • Assist the Chief Financial Officer with construction payments.
Non-Essential Functions: While the following tasks are necessary for the work of the unit, they are not an essential part of the purpose of this position and may also be performed by other unit members.
  • Performs other duties and additional responsibilities as directed.


Entry-Level Requirements:
  1. Education/Training: High school diploma required. Preference given to individuals with post-secondary education or demonstrated knowledge of school finance.
  2. Experience: Job-related experience with knowledge or school finance preferred.
  3. Certifications &/or Licenses: IASBO certification preferred.
  4. Other: Ability to perform the essential functions, meet the performance aptitudes, and fulfill the physical/sensory/environmental requirements of the job (with or without reasonable accommodations) is required. Ability to become a notary.

Physical Requirements:

Requires the ability to sit for long periods of time.

Requires the ability to lift heavy objects at times.

Sensory Requirements:

Sensory demands include the use of the computer, which may cause eyestrain and occasional headaches. The office may be busy making it difficult to concentrate.

Environmental Factors:

The Executive Secretary may have to manage a number of projects at one time, and will be interrupted frequently to meet the needs and requests of employees, vendors, and other external agencies. The Executive Secretary may find the environment to be busy and will need excellent organization and time and stress management skills to complete the required tasks.
