THE ROLE The

Sales & Rooms Coordinator

is a dual-impact position that fully integrates

Sales

and

Rooms Operations . This role supports the hotel’s Sales Team in coordinating group business and administrative tasks, while also managing reservations, guest communications, and front-office responsibilities. You will be responsible for executing both the behind-the-scenes logistics that drive revenue

and

the guest-facing service that defines Hotel Haya’s experience. This position requires sharp organizational skills, proactive communication, and a true passion for people. Respond to client inquiries, prepare proposals, contracts, group resumes, and Banquet Event Orders (BEOs). Support the Director of Sales and Sales Managers by maintaining accurate records of accounts, events, and follow‑up actions. Manage incoming calls and emails for the sales department; document all details and ensure timely responses. Input and update information in the sales and catering systems, ensuring complete and accurate client data. Prepare and distribute sales and booking reports, group pickup summaries, and meeting schedules. Partner with banquet, front office, and F&B teams to execute successful group arrivals, events, and VIP stays. Assist with post‑event follow‑up, billing accuracy, and client satisfaction communication. Rooms & Reservations Responsibilities

Manage individual and group reservations, ensuring all rooming lists, billing instructions, and special requests are processed accurately. Serve as the primary contact for group housing coordination, pre‑arrival planning, and VIP guest preparation. Handle all reservation inquiries by phone and email, utilizing sound judgment to meet guest and client needs. Collaborate with Housekeeping, F&B, and Front Office to guarantee readiness for group and transient arrivals. Demonstrate mastery of hotel systems to ensure accurate guest data, preferences, and communication logs. Monitor same‑day arrivals and ensure any special attention guests or VIPs are properly recognized. Cross‑Functional & Administrative Duties

Maintain updated departmental files and reporting structures for both Sales and Front Office. Participate in daily meetings to communicate upcoming groups, VIPs, and internal needs. Support the management team in continuous improvement initiatives and guest experience enhancements. Step into either role — Sales Coordinator or Rooms Coordinator — fully and independently as business levels require. WHAT YOU WILL NEED

2+ years of hospitality experience, ideally combining front office/reservations and sales or event coordination. Strong organizational, administrative, and multitasking skills with high attention to detail. Proficiency in PMS and CRM systems (Opera, Delphi, or similar) and Microsoft Office Suite. Excellent written and verbal communication skills. A flexible schedule including weekends, holidays, and occasional evenings to support events and group arrivals.
