Req Id: 39464 Job Title: Administrative Assistant City: Fort Wayne Job Description: Join Purdue University Fort Wayne: We are currently seeking a full-time, on-site Administrative Assistant in our TRIO Upward Bound department. The Administrative Assistant provides clerical and organizational support for the federally funded TRIO Upward grants. This position's hourly wage starts at $15.92/hr. Primary Responsibilities:
- Process, record, and monitor complex financial transactions related to the expenditures of Upward Bound federal grants and discretionary funds.
- Assist the Director in constructing budgets for Upward Bound renewed grant applications and prepare for audits conducted by the Department of Education.
- Perform financial transactions using knowledge of federal grants and regulations, especially in regards to stipends given to students.
- Maintain all Upward Bound participant files in the program's database as well as hard copy files.
- Manage and ensure the accuracy of student records, including personal, academic, and participation (i.e., staff/student contact, attendance etc.) information.
- Work closely with staff, participants, and parents/guardians; ensure timely accurate communication of program information.
- Assist Upward Bound staff with preparation for the recruitment and selection of program participants.
- Coordinate all food components of the programs, including workshops, special events/banquets, residential meals, and the Summer Food Service Program.
- Collaborate effectively with Purdue Fort Wayne staff and faculty as necessary.
- Other duties as assigned.
- A High School diploma or GED.
- 2 years of related experience in a clerical or administrative support role.
- Demonstrated knowledge of maintaining an information database & complex record.
- Ability to comply with university, financial, and programmatic policies & procedures.
- Demonstrated ability to handle confidential & sensitive documents.
- Ability to work independently, display strong decision-making, excellent organization skills, and ability to multi-task & prioritize requests.
- Excellent verbal & written communication skills and ability to work with students, parents/guardians, university employees, target schools, and program partners.
- Proficiency in Microsoft Office and Outlook.
- Ability to coordinate details of planning & implementing special events and activities.
- Must be able to maintain accurate financial records.
