Description We are looking for a highly organized and proactive Executive Assistant to support senior leadership in South Boston, Massachusetts. This Contract position requires an individual who can handle multiple tasks with efficiency, maintain a detail-oriented approach, and ensure smooth day-to-day operations for executives. The role involves managing schedules, coordinating travel, and facilitating meetings to help optimize the executive team's productivity. Responsibilities:
- Maintain and organize executive calendars, ensuring all appointments and meetings are scheduled accurately.
- Coordinate and arrange detailed travel plans, including booking flights, accommodations, and transportation.
- Prepare itineraries and ensure all travel arrangements align with executive preferences.
- Facilitate executive meetings by preparing agendas, recording minutes, and following up on action items.
- Serve as a key point of contact for executives, handling correspondence and prioritizing communications.
- Manage time-sensitive tasks and deadlines with efficiency and attention to detail.
- Collaborate with other departments to ensure seamless communication and support for executives.
- Address last-minute changes to schedules or travel plans with flexibility and problem-solving skills.
- Monitor and organize documents, presentations, and reports for executive use.
- Uphold confidentiality and a detail-oriented approach when handling sensitive information. Requirements - Proven experience as an Executive Assistant or in a similar role supporting senior leadership.
- Strong skills in calendar management, including scheduling and prioritization.
- Expertise in coordinating complex travel arrangements and preparing detailed itineraries.
- Exceptional organizational and multitasking abilities to manage dynamic workloads.
- Proficiency in communication, both written and verbal, with attention to detail.
- Ability to adapt to changes quickly and solve problems effectively.
- High level of discretion and professionalism when handling confidential matters.
