- Provide high-level administrative support to the executive team
- Manage all aspects of A/P and A/R processes, including vendor invoicing, job costing, billing, and collections
- Process weekly and bi-weekly payroll, including certified payroll for public projects
- Maintain accurate financial records and reports for projects and company expenses
- Coordinate schedules, meetings, and communications on behalf of executives
- Assist in preparing budgets, proposals, and financial documentation
- Liaise with vendors, subcontractors, clients, and internal departments
- Ensure compliance with internal policies and construction industry regulations
- 3+ years of experience in an Executive Assistant or Office Manager role within the building and construction industry
- Strong working knowledge of Accounts Payable, Accounts Receivable, and Payroll (including certified payroll)
- Proficiency in construction management or accounting software (e.g., QuickBooks, Procore, Sage, Foundation, or similar)
- Excellent organizational and time-management skills
- Strong attention to detail and ability to handle confidential information with discretion
- Exceptional written and verbal communication skill
- Familiarity with AIA billing and lien waivers
- Experience supporting job costing and budget tracking
- Notary Public (a plus, but not required)
