Staff Assistant - Lobby (Downtown Tampa) (Finance)

Position Summary

Provide administrative support in order to ensure overall efficiency, effectiveness and superior customer service with internal and external clients and vendors.

This position is not eligible for Visa Sponsorship.

Minimum Qualifications

  • A high school diploma or equivalent, with two or more years of experience in an office or administrative support position.
  • College or other relevant post‑secondary coursework may substitute for the experience requirement on a year‑for‑year basis.
  • Testing may be required to assess competency with word‑processing software.

Employment eligibility requirements per Senate Bill 1310 apply. Candidates must meet all eligibility requirements.

Preferred Qualifications

  • Computer skills, Microsoft Office; CME Tracker registration software.
  • Knowledge of basic computer troubleshooting and proficiency using a high‑capacity copier, scanner and fax machine.
  • Excellent verbal and written communication skills.
  • Ability to multi‑task in a busy office setting.

Responsibilities

  • Assist facility customers in person and via phone or e‑mail regarding parking, facility, shipping and receiving, and direct customers to staff members or course locations. Ensure learners sign in on the daily log and visitors sign in appropriately. Notify appropriate parties to announce learners or guests and ensure they are escorted into the appropriate area.
  • Assist with maintaining security badge access controls and schedule security door access.
  • Ensure USF HPCC daily mail is opened, sorted and distributed according to USF HPCC policy and procedures. Receive, sort and record supplies, equipment or other items delivered for internal and external clients. Assist shipping and receiving with documentation, compare incoming shipments against bill of lading or invoices, and ensure delivery of signed documentation and goods to appropriate departments or individuals.
  • Develop and implement daily electronic signage for programs throughout the building using USF Health IT software. Assist as requested with preparation of meetings, registration, conference calls, courses or conferences.
  • Perform other administrative assistance and special projects in support of the mission and strategy of the department.
  • Other duties as assigned.
