Position Summary

Provide administrative support in order to ensure overall efficiency, effectiveness and superior customer service with internal and external clients and vendors.

Minimum Qualifications

This position requires a high school diploma or equivalent, with two or more years of experience in an office or administrative support position. College or other relevant post‑secondary coursework may substitute for the experience requirement on a year‑for‑year basis. Testing may be required to assess competency on word processing software.

    • A public employer may include a postsecondary degree as a baseline requirement only as an alternative to the number of years of direct experience required, not to exceed:
      • (a) Two years of direct experience for an associate degree;
      • (b) Four years of direct experience for a bachelor's degree;
      • (c) Six years of direct experience for a master's degree;
      • (d) Seven years of direct experience for a professional degree; or
      • (e) Nine years of direct experience for a doctoral degree
  • Related work experience may not substitute for any required licensure, certification, or registration required for the position of employment as established by the public employer and indicated in the advertised description of the position of employment.
  • Minimum Qualifications that require a high school diploma are exempt from SB 1310.

Preferred Qualifications

Preferred Attributes: Computer skills, Microsoft Office; CME Tracker registration software, Knowledge of basic computer troubleshooting and proficient using a high-capacity copier, scanner and fax machine. Excellent verbal and written communication skills. Ability to multi-task in a busy office setting.

Responsibilities

  • Assist facility customers in person and via phone or email regarding parking, facility, shipping and receiving as well as directing customers to staff members or course locations. Ensure learners sign in on the daily log and visitors sign in appropriately. Notify appropriate parties to announce learners or guests and ensure learners or guests are escorted into the appropriate area.
  • Assist with maintaining security badge access controls; schedule security door access.
  • Ensure USF HPCC daily mail is opened, sorted and distributed according to USF HPCC policy and procedures. Receive, sort and record a variety of supplies, equipment or other items being delivered for internal and external clients. Assist shipping and receiving with documentation and compare incoming shipments against bill of lading or invoices. Follow through and ensure delivery of appropriate signed documentation and goods to appropriate departments or individuals.
  • Develop and implement daily electronic signage for programs happening throughout the building using USF Health IT software. Assist as requested in the preparation of meetings, registration, conference calls, courses or conferences.
  • Perform other administrative assistance and special projects in support of the mission and strategy of the department.
  • Other duties as assigned.
