Position Summary:
The Human Resources Administrative Specialist provides front-line administrative support for Human Resources, Payroll Services, and the Finance & Administration Division. This position serves as the primary receptionist, assists employees and applicants, coordinates meetings and events, and supports key HR processes such as I-9 verification, employment verification, and employee status changes.
Duties & Responsibilities:
In conjunction with student workers, serve as receptionist for Human Resources, Payroll Services, and the Finance & Administration Division by answering phone, directing visitors, and responding to routine questions regarding policy and procedure
Assist visitors and callers with employment application questions and Taleo password resets
Serve as a liaison with various internal and external constituents to schedule conference rooms and other events
Complete section 2 of I-9s for new employees and distribute to the appropriate onboarding specialist
Handles employee name change process (Section 3 of I-9)
Complete employment verification and update log as needed
Assigns and processes exit interviews
Complete monthly supply orders as well as Coca-Cola orders
Act as building liaison - includes managing maintenance requests, announcements to building staff, etc.
Process and log Conflict of Interest Forms
Process Tuition Discount and Dependent Housing Discount forms
Help oversee and train student workers
Check P.O. Box and distribute mail daily - update check log when receiving a check
Distributes paper checks on payday
Other administrative duties as assigned, including managing calendars, key request forms, copier maintenance, etc.
Knowledge/Skills/Abilities:
Knowledge of general office practices, procedures, and equipment.
Knowledge of basic Human Resources processes and confidentiality standards.
Skill in providing excellent customer service and communicating effectively in person, by phone, and in writing.
Ability to organize and prioritize multiple tasks while maintaining attention to detail.
Ability to work collaboratively with employees, students, and the public in a professional manner.
General Days/Hours:
Monday - Friday
8:00 a.m. - 5:00 p.m.
Additional hours as requested and/or needed

Minimum Qualifications:
High school diploma or equivalent plus one (1) year of experience in an office, administrative, or customer service setting.
