Downtown Grand Hotel and Casino
It is the responsibility of the Benefits Manager to oversee day-to-day administration of benefits, leave of absence request and accommodations arising under the Family Medical Leave Act (FMLA), the Americans with Disabilities Act (ADAA), Worker's Compensation (WC), other leaves of absence and related compliance. The Benefits Manager also provides guidance and support to all team members on various benefits and medical matters.
POSITION RESPONSIBILITIES/DUTIES:
Maintains and manages all aspects of group benefit plans (medical, dental, vision, COBRA, flexible spending plans, retirement plans, short-term and long-term disability, accident, critical illness, life insurance, etc.) Uphold bi-weekly and monthly benefit/leave audits Manages all Benefits invoices, billing and reconciliation. Create a payment plan for team members who are in arrears. Provide support to team members on benefits needs along with troubleshooting technical issues. Serve as primary point of contact to company's plan vendors and third-party administrators. Design, recommend and implement alternative benefit programs by examining plan designs and benefit cost change during open enrollment, benefit negotiations, benefit events, benefit projects, etc. Revamp and launch new team member experiences such as benefit events (Health Fair, Wellness programs, etc.) Send benefit enrollment notifications to newly eligible team members. Conduct benefit orientation to newly benefits eligible team members. Complete all relevant filings and maintain benefit compliance (5500, ERISA, ACA, Non-Discrimination testing, etc.). Process, complete and preserve forms related to Loss of Time, State-funded programs and open/closed benefit claims (short-term & long-term disability, etc.). Interprets and administers leave programs and policies in accordance with the applicable Federal and State employment laws (FMLA, ADA, ADAA, USERRA, Pregnancy Discrimination Act, Worker's Compensation, SB4, etc.) Organization of all medical information and ensure that HIPAA and Team member Privacy guidelines are closely monitored and effectively executed. Process and manage leave of absences for union and non-union team members, determine FMLA eligibility and send out applicable correspondence regarding the status of team member's leave of absence request within the required deadlines. Leave administration, tracking and compliance within CBA guidelines. Approve and/or denies leave cases based on relevant medical information. Manage unauthorized leave of absences and work with departments to issue appropriate level of discipline. Responsible for tracking, monitoring, and processing requests for accommodation and complaints of disability discrimination and/or retaliation. Oversees the return-to-work process for team members returning from FMLA, workers compensation, or other leave(s). Responsible for reasonable accommodation compliance with the assistance of the Director of Human Resources. Retains all documents related to the accommodation and complaints and ensures proper follow up. Preserves confidentiality of team member medical documentation and files. Provide live and interactive ADA training to all team members In tandem with the Director of Human Resources, conducts an annual self-assessment (utilizing the Accommodation and Complaint logs under the guidance of the Monitor) to provide feedback on how to improve the interactive and accommodation process and how discrimination and retaliation complaints are identified, reported, investigated, resolved, and monitored. Coordinate with leave management and absence platform to ensure efficient case handling along with monitoring unplanned absences. Maintain compliance with all Benefit and Leave of Absence requirements (ADA, ADAA, EEOC, FMLA, USERRA, Pregnancy Discrimination Act, Worker's Compensation, SB4, etc) Monthly Benefits and Leave of Absence Reporting. Must be able to collaborate and communicate effectively with all levels of team members. Supporting HR operations on Employment, Team member Relations, Team Member Events, etc. Responsible for a variety of tasks, such as maintaining and managing personnel records, files, coordinating meetings, and providing advice and guidance to staff on HR policies and procedures. Complete all projects and tasks in a timely manner, adhering to all deadlines established. Manages and responds to unemployment claims, COBRA administration, etc. Performs other duties as assigned. KNOWLEDGE, SKILLS, AND ABILITIES:
Excellent interpersonal, customer service, communication skills. Excellent spelling and grammar skills and ability to draft documents upon request. Ability to multi-task and manage multiple projects and make independent decisions daily. Maintains confidentiality, open-minded, trustworthy, compliance-oriented, flexible, adaptable, and team-oriented. Able to work effectively under pressure while managing multiple projects with tight deadlines. Ability to work effectively independently and as part of a team. Strong organizational skills, detail oriented, problem solve and ability to handle multiple tasks and assignments. Demonstrates initiative, detail oriented, highly organized within scope of work and in supporting other HR staff members. Stay abreast of employment laws, including federal, state, and local anti-discrimination laws and regulations. MINIMUM REQUIREMENTS:
High School Diploma or Equivalent. At least 2 years of proven experience in Human Resources/Administrative position. Leave Administration / Benefits experience
Strong working knowledge of employment law, including ERISA, COBRA, HIPAA, EEOC, ACA, FMLA, 5500 reporting, ADA, ADAA, State leaves, and Finance.
Fluent in Spanish (preferred) Must be proficient with Microsoft Office and able to learn all systems related to the position. PHYSICAL REQUIREMENTS:
Prolonged periods sitting at a desk and working on a computer. Must be able to lift up to 20 pounds at times. Ability to work in-person with an environment that is subject to varying levels of noise, crowds, and smoke. Follow all safety procedures as established by the company.
