ABOUT THIS POSITION
The RFP Analyst will own and coordinate the creation of accurate, compelling, and client-focused responses to RFPs, RFIs, and RFQs. This role blends project management, technology skills, and strong writing/editing abilities to ensure timely, high-quality submissions that support revenue growth in the software technology space.
The role is highly cross-functional, requiring coordination across multiple departments and job levels, with a focus on leveraging AI and emerging technologies to drive efficiency. The successful candidate will bring direct experience from a SaaS/software technology company and be adept at translating technical solutions into persuasive, client-ready messaging.
WHAT YOU'LL DO
RFP & Proposal Management
Lead and coordinate the end-to-end lifecycle of RFP, RFI, and RFQ responses — from intake and requirements analysis through to final delivery.
Manage timelines, deliverables, and stakeholder communications to ensure on-time, high-quality submissions.
Ensure all proposals align with corporate branding, tone, and messaging guidelines.
Facilitate review cycles and secure necessary approvals before submission.
Content Development & Optimization
Collaborate with subject matter experts to gather accurate and compelling technical, product, and compliance information.
Write, edit, and format responses to clearly address client requirements while differentiating our solutions.
Maintain and update the proposal content library, ensuring content is current, searchable, and compliant.
Leverage AI tools and other automation technology to improve content quality, speed, and consistency.
Technology & Process Improvement
Assist in the build, configuration, and adoption of proposal management solutions such as Loopio, Responsive, or Qvidian.
Identify and implement process enhancements to increase efficiency, content reuse, and team productivity.
Monitor and manage content record creation and maintenance, ensuring data integrity and accessibility.
Collaboration & Cross-Functional Coordination
Serve as the central project manager for assigned proposals, coordinating efforts across multiple departments and job levels.
Partner with Sales, Solution Strategists, Product Marketing, Product Management, Security, and Legal to ensure responses meet client and compliance requirements.
Coordinate with internal teams and external vendors for final production and delivery of proposals, including hardcopy binders when required.
WHAT YOU'LL NEED
What You’ll Need
Bachelor’s degree in Communications, English, Marketing, Business Administration, or related field.
2+ years’ experience in proposal management, marketing writing, or related role.
Direct experience working in a SaaS/software technology company (B2B preferred).
Technical Skills: Advanced proficiency in MS Office 365, Salesforce, Adobe Acrobat/Writer, and at least one RFP management solution such as Loopio, Responsive, or Qvidian. Must be able to demonstrate proficiency during the interview process.
Proven experience using AI tools and automation to optimize content creation, automate workflows, or analyze proposal data.
Strong editing, writing, and organizational abilities.
