Position Summary
The Safety & Facilities Specialist supports FFF Enterprises by ensuring that workplace safety programs and facility operations are executed in full compliance with regulatory requirements and organizational standards. This role delivers hands-on support in implementing safety initiatives, coordinating preventative and corrective maintenance, and maintaining accurate records that demonstrate accountability to federal, state, and local regulations.
Working closely with Safety & Facilities leadership and collaborating across departments, the Specialist ensures that safety practices and facility systems operate effectively, reliably, and in alignment with FFF's business objectives. Through consistent application of established procedures and proactive identification of improvement opportunities, the position helps safeguard employees, protect company assets, and sustain uninterrupted operations across all facilities.
Essential Functions and Duties
Safety Management: Partner with Safety & Facilities leadership to plan, implement, and maintain comprehensive safety policies and programs. Educate employees on safety standards and expectations through regular meetings, training, and coaching. Conduct risk assessments, ergonomic evaluations, and safety audits to identify and mitigate hazards. Investigate workplace incidents, determine root causes, and develop corrective action plans. Act as the Safety Committee Chair and actively support the Emergency Preparedness Committee. Serve as Emergency Lead for annual fire and disaster drills. Maintain up-to-date knowledge of OSHA, NFPA, DOT, IATA, and other applicable regulations. Collaborate with leaders and managers across departments to integrate safety best practices into daily operations. Facilities Management:
Coordinate and oversee all facility-related maintenance and repairs, including grounds, lighting, plumbing, electrical, and structural integrity. Schedule and manage preventative maintenance for fire suppression, back-up power systems, alarms, and HVAC. Troubleshoot and complete basic facility repairs (e.g., battery replacement, minor equipment fixes). Partner with external vendors to ensure service agreements are met and facility standards are maintained. Work closely with warehouse teams to maintain a clean, organized, and safe environment for employees and guests. Collaborate with leadership on long-term facility planning and improvements. Compliance and Reporting:
Maintain accurate, comprehensive records of safety procedures, inspections, incidents, and maintenance activities. Prepare and deliver reports on safety metrics, accident investigations, and compliance status to leadership and relevant departments. Act as liaison with external agencies, including fire departments, insurance providers, and safety regulators. Ensure alignment with FFF's Injury and Illness Prevention Program and Compliance Program Policies. Provide guidance to departments on compliance-related issues, ensuring clear communication and accountability. Cross-Functional Collaboration:
Build strong relationships with internal stakeholders across multiple departments to ensure safety and facility practices support operational needs. Serve as a resource and partner to leadership teams, offering recommendations and guidance on safety and facility improvements. Participate in cross-departmental projects to improve workplace safety, facility management, and overall employee experience. Encourage open communication and information sharing to foster a collaborative, solution-oriented culture. General Responsibilities:

Required Education:
Bachelor's degree in Occupational Safety, Environmental Health, Facilities Management, or a closely related field;or In lieu of a degree, an equivalent combination of education and directly related experience. Preferred Education:
Bachelor's degree in Occupational Safety, Facilities Management, Environmental Health, or a related discipline. Required Knowledge:
Working knowledge of OSHA, NFPA, DOT, IATA, and other applicable federal, state, and local safety regulations. Practical understanding of facility maintenance systems, including HVAC, plumbing, and electrical, as well as the safe use of hand and power tools. Knowledge of facility management practices such as preventative maintenance scheduling, vendor coordination, and accurate recordkeeping. Preferred Knowledge:
Familiarity with safety and facility best practices in distribution, manufacturing, or healthcare environments. Knowledge of workplace ergonomics and emergency preparedness protocols. Awareness of industry trends, emerging standards, and evolving regulatory requirements. Understanding of integrated safety and facilities programs within corporate or multi-site environments. Required Experience:
Minimum ofthree (3) yearsof professional experience in safety, facilities, or a closely related field;or In lieu of a degree, a minimum offive (5) yearsof directly related safety or facilities experience. Demonstrated success in implementing safety and facility programs, training initiatives, and compliance requirements. Experience maintaining accurate safety and facility records, including investigations and compliance documentation. Established record of integrity, discretion, and sound judgment in handling sensitive or complex situations. Preferred Experience:
Previous experience in a distribution or manufacturing environment. Experience supporting healthcare-related facilities and operations. Direct experience liaising with external safety agencies, regulators, or insurance representatives. Required Skills:
Ability to learn complex processes quickly and identify opportunities for improvement. Strong organizational and time management skills with exceptional attention to detail and accuracy. Effective research and problem-solving skills to address safety and facility challenges. Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and Adobe Acrobat. Excellent verbal and written communication skills, with the ability to interact effectively across all organizational levels. Demonstrated professionalism and ability to maintain confidentiality when handling sensitive information. Adaptable, proactive, and resourceful in fast-paced or evolving environments. OSHA 30-hour certification (or equivalent), or the ability to obtain certification within 30 days of hire. Preferred Professional Certification:

Physical requirements
Vision, hearing, speech, movements requiring the use of wrists, hands and/or fingers. Must have the ability to view a computer screen for prolonged periods and the ability to sit for extended periods. Must have the ability to work the hours and days required to complete the essential functions of the position, as scheduled. Must have the ability to lift and maneuver items of at least 35 lbs. Must have the ability to travel occasionally. Working condition include normal office setting and warehouse distribution environment.
