Polsinelli is seeking a Receptionist/Hospitality Coordinator for our Nashville office. This is an in-office role. CORE RESPONSIBILITIES
Provide administrative support to the Office Administrator Answer phones at the reception desk Greet and assist all guests of the Nashville office Schedule conference rooms and order catering for monthly meetings. Review Meeting Room Manager and/or other technology every 30 minutes (at a minimum) to ensure conference rooms are set up appropriately Work with couriers to receive and forward deliveries Provide assistance to other Legal Administrative Assistants and administrative departments upon request, as time permits; specifically typing correspondence and submitting expenses Handle key tasks related to on-boarding and off-boarding of attorneys and staff Serve as lead coordinator of the Nashville Spirit Committee helping to plan, promote and execute office events and community service events Serve as a point of contact between legal and administrative personnel in multiple offices Assist with scheduling, organizing, and implementing internal events - HR, Benefits, Diversity, Wellness, WEC, etc. Provide assistance to visitors including light legal administrative support Coordinate distribution of materials and participation in CLE programs, seminars, and internal meetings Coordinate repairs and maintenance with building management and vendors Serve as on-site backup for day-to-day matters in the absence of the Office Administrator Coordinate with Recruiting Manager for on- and off-site events Serve as a Polsinelli PROUD committee member or team captain Assist Office Services Coordinator with large mailing projects Handle beverage service for clients, guests, and department meetings, including set-up, regular refreshing of hospitality items, and clean-up. Place orders for food for internal meetings, including department/practice group meetings. Provide support to marketing for firm/marketing-sponsored functions, including special after-hours events (i.e. set up, clean up, caterer coordination/access, etc.) Ensure all conference rooms, reception areas, visiting attorney offices, kitchens, restrooms, and other common areas are consistently clean and organized Maintain proper supplies in kitchens, galleys, coffee areas, conference rooms, and lobbies where appropriate Collaborate and partner with the Regional Marketing Coordinator and Office Administrator in the planning, set up, and execution of office events, including vendor and catering communication, AV set-up, and all other tasks required of the event Provide back up/coverage assistance to Office Services Other duties as assigned REQUIREMENTS Must dress in a professional manner and always maintain a professional demeanor Must speak clearly and use good grammar Must be able to work in a multi-tasked environment Proficiency in Microsoft Outlook and Word Keep matters relating to client names, client matters, firm operations, or finances completely confidential College degree preferred
