Receptionist/Hospitality Coordinator - Nashville

Direct Counsel is representing a prestigious law firm seeking a Receptionist/Hospitality Coordinator for its Nashville office.
This is a full-time, in-office position offering the opportunity to be a central part of the firm's daily operations and client experience.
Position Overview
The Receptionist/Hospitality Coordinator will be the first point of contact for clients and visitors, providing exceptional client service while supporting administrative and operational needs. The ideal candidate will be professional, organized, and proactive, with a strong ability to multitask and maintain a polished and welcoming office environment. Core Responsibilities Greet and assist all clients and visitors, ensuring a professional and hospitable experience. Answer and direct incoming calls at the reception desk with clarity and courtesy. Provide administrative support to the Office Administrator, including scheduling, correspondence, and event coordination. Schedule conference rooms and manage catering for meetings; ensure rooms are properly set up and maintained throughout the day. Coordinate with couriers for deliveries and distribution of materials. Support legal administrative assistants and other administrative departments as needed, including expense submissions and document preparation. Assist with onboarding and offboarding attorneys and staff. Serve as lead coordinator of the
Nashville Spirit Committee , planning and executing office and community service events. Assist with scheduling and logistics for HR, Diversity, Wellness, and firmwide initiatives. Coordinate continuing legal education (CLE) materials, internal seminars, and meeting logistics. Serve as a liaison between legal and administrative personnel across multiple offices. Collaborate with building management and vendors to coordinate repairs, maintenance, and supply needs. Provide event support, including marketing and recruiting events, after-hours receptions, and internal firm functions. Maintain conference rooms, common areas, and hospitality stations to ensure cleanliness and organization. Manage beverage and catering services for client and internal meetings. Partner with the Regional Marketing Coordinator and Office Administrator in planning and executing office events. Provide back-up coverage for Office Services as needed. Perform other duties as assigned. Requirements Must maintain a
professional appearance and demeanor
at all times. Excellent verbal communication and interpersonal skills; must speak clearly and use proper grammar. Strong multitasking and organizational abilities in a fast-paced environment. Proficiency in
Microsoft Outlook
and
Word . Ability to handle confidential information with discretion. College degree preferred.
