The Patient Account Representative is responsible for managing all aspects of Wisconsin Medicaid and Medicare insurance plans for all pre-doc and resident clinics within the School of Dentistry. This position also assists patients with any billing and insurance questions, answers inquiries from staff, faculty, dental students and patients, and responds to in person, email and voicemail communications. This is an in-person position based at the School of Dentistry.
Duties and Responsibilities
1. Manage all aspects of Wisconsin Medicaid and Medicare insurance plans for all pre-doc and resident clinics within the School of Dentistry a. Submit, monitor, and manage high volume of Medicaid claims, on various insurance portals, with accuracy. b. Verify patient Medicaid coverage and eligibility on the Sta of Wisconsin Forward Health portal, as well as verify and convey to dental students and residents, which treatments are covered according to Medicaid's standard of care. c. Submit quarterly Medicaid orthodontic claims and notify clinic when patient preauthorization is nearing expiration. d. Maintain compliance with Medicaid rules and regulations for remittance of patient care. Communicate this information to fellow staff and students. e. Coordinate benefits for patients presenting with both commercial and Medicaid insurance. f. Prepare and monitor Medicaid denials, notifying the appropriate student or department. g. Monitor and resolve all disputed claims by consulting with state Medicaid administration clerks. h. Assist and guide all dental students and residents in completion of required paperwork, as well as any required supporting documentation, for Medicaid and commercial insurance plans preauthorization. Submit and monitor Wisconsin Medicaid pre-authorizations on each plans' specific portal. Follow-up and notify applicable dental student, resident or clinic of approvals and additional instructions.
2. Assist patients with any billing and insurance questions. a. Provide patients with copies of receipts when requested and assist patients in understanding their billing statements and allocation of their payments. Generate and monitor patient billing statements. b. Submission of commercial insurance claims and ensure accuracy of information. c. Notify appropriate dental student or resident with requests for patient refunds. Guide student/resident in proper auditing to verify refund amount is accurate. d. Process patient payments when called in by phone or received in the mail. Accurately post to patient account. e. Complete and record signed patient financial agreements for any non-payments for treatment completed same day.
3. Answer frequent daily inquiries in person, on phone, by email or via internal messaging, from all dental students, residents, faculty and clinical staff within the Dental School, regarding patient accounts, insurance coverage, coding and fees. a. Manage and maintain department voicemail and emails. Respond to those inquiries in a timely manner. b. Oversee incoming mail and handle any requests appropriately. Route any misguided mail to the appropriate party within the school or correct department on campus, as needed.
4. Routinely audit clinical Electronic Health Records (EHR) for proper procedure coding and completeness. Report any corrections required. Notify appropriate dental student/resident for needed corrections. a. Audit all pre-doc & resident patient's chart to determine if all treatment has been accounted for in the EHR record and balances are rectified, prior to graduation. b. Evaluate, after a detailed chart audit, all electronic QA and billing discount requests from dental students and resident clinics. Approve discounts and apply as treatment is completed.
5. Record, review and manage all insurance payments, including EFT payments for Medicaid and Delta Dental MU insurance plan. Allocate to patient accounts with accuracy.
6. Cross-train with all other departments within the Patient Access zone to assist during peak times or staff absences. a. Patient Registration b. Cashiering c. Radiology coordinator d. New patient screening e. Patient and Legal Record requests. Ensure compliance with HIPAA standards. f. Patient Medical history input to the EHR. g. Call Center h. Assist with pre-doctoral student and graduate resident orientations each semester to foster compliance with MUSoD policies and procedures relating to the patient service and revenue cycle.
Required Knowledge, Skills and Abilities
High school diploma or GED
Minimum of 2 years of related work experience
Organized, detail-oriented person familiar with dental billing, guidelines/procedures, treatment procedure coding, and insurance plans.
Excellent customer service skills, computer skills and date entry skills.
Ability to work independently with frequent interruptions.
Preferred Knowledge, Skills and Abilities
Associate's or vocational/ technical school degree in Business, Healthcare Administration, dental-related field
Medical terminology is desirable.
Previous experience with medical billing preferred.
