We are seeking a highly organized, proactive, and resourceful
Executive Assistant
to support our Chief Information Security Officer (CISO) and provide ad hoc support to three Vice Presidents. This role is critical in ensuring seamless day-to-day operations, managing complex calendars, coordinating travel, and assisting with executive‑level presentations and meetings. The ideal candidate is a sharp, detail‑oriented professional who thrives in a fast‑paced environment and can juggle multiple priorities with discretion and efficiency.
Key Responsibilities
Coordinate and manage complex calendars across multiple time zones, ensuring optimal scheduling and prioritization of meetings.
Book domestic and international travel, including flights, accommodations, ground transportation, and itineraries.
Schedule and manage logistics for internal and external meetings, including booking conference rooms, preparing agendas, and ensuring all materials are ready.
Assist in the creation, formatting, and editing of executive‑level PowerPoint decks and other presentation materials.
Act as a gatekeeper and point of contact between executives and internal/external stakeholders, ensuring timely and professional communication.
Handle expense reports, document preparation, and other administrative tasks as needed.
Provide flexible, on‑demand support to three Vice Presidents, adapting quickly to shifting priorities and needs.
Qualifications
5+ years of experience supporting senior executives, preferably in a fast‑paced, Fortune 1000 environment.
Exceptional organizational and time management skills.
Strong proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word, Excel).
Experience with travel booking tools and calendar management platforms.
Excellent written and verbal communication skills.
High level of discretion and professionalism.
Ability to anticipate needs and take initiative without being prompted.
Preferred Attributes
Experience supporting a CISO or executive leadership in cybersecurity or technology.
Comfortable working with confidential and sensitive information.
Calm under pressure, with a can‑do attitude and a sense of humor.
