Your Role As our Executive Assistant (EA), you will support and report directly to the President / CEO of the organization, providing executive support in a one-on-one working relationship, helping to streamline the President / CEO's workload. Secondary executive support is provided on an as-needed basis to the management team. The EA serves as the primary point of contact, both internal and external, on all matters pertaining to the executive office. The EA also serves as a liaison to the Board of Directors and Senior Management, organizes and coordinates executive outreach and manages special projects. All actions and decisions require excellent judgment and impeccable organization in a professional manner.

Salary The salary range for this position is $80k to $85k. Flexibility to this range may be considered based on experience.

What You'll Do

Complete a broad variety of administrative tasks including : managing an active calendar of appointments, completing expense reports, composing and preparing correspondence that is often confidential, arranging detailed travel plans, itineraries and agendas and compiling documents for internal and external meetings. Works from general instructions on destination, purpose of travel and knowledge of travel preferences.

Plan, coordinate, and ensure schedules are followed and respected. Provide "gateway" role, creating complimentary situations for direct access to the President / CEO's time and office.

Communicate directly, and on behalf of the President / CEO with team members, customers, Board Members, and other others on matters related to the President / CEO's initiatives.

Serve as the President / CEO's administrative liaison to Baltimore Equitable's Board of Directors and assist Board members as needed.

Plan and attend board meetings, coordinate calendars of several individuals in an efficient manner, take board meeting minutes and provide follow-up action items as appropriate.

Perform duties of a highly confidential nature that require comprehensive knowledge of organizational policies, practices, and procedures

Research, prioritize, and follow up on incoming issues and concerns addressed to the President / CEO, including those of a sensitive or confidential nature. Determine and / or propose appropriate course(s) of action or response.

Provide bridge for smooth communication between the executive office and internal departments, developing and maintaining credibility, trust and support with management and employees.

Work closely and effectively with the management team to keep all well-informed of upcoming commitments and responsibilities, with appropriate follow up.

Provide leadership to build relationships crucial to the success of the organization and manage a variety of special projects, some of which may have organizational impact.

Successfully complete critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate executive's ability to effectively lead the organization.

Requirements for Success

Associate degree or equivalent work experience, a Bachelor's degree is preferred.

Three to five years of experience supporting senior level executives.

Experience developing internal processes.
