seeks a detail‑oriented, highly organized individual to support the Department Chair and Chief Administrative Officer (CAO) with a broad range of administrative, analytical, and financial duties.
Responsibilities
Conduct complex administrative analysis and support the CAO with a wide range of assignments.
Coordinate administrative support for the Chair, including complex calendaring, scheduling, and special projects.
Assist with operational analysis, planning, and general department operations such as equipment management, purchasing, key management, and office logistics.
Support accreditation requirements, including collection and organization of course materials and attendance at coordination meetings.
Manage confidential administrative assignments and coordinate broad resource‑management functions.
Initiate and support department projects, student activities, and quarterly faculty advising sessions.
Provide high‑level administrative and analytical support, event coordination, and financial analysis.
Qualifications
Ability to use sound judgment in responding to issues and concerns.
Strong communication and interpersonal skills for effective verbal and written interaction with staff at all levels.
Excellent organizational skills with the ability to multitask under demanding timeframes.
Working knowledge of common organization‑specific and other computer applications (Outlook, Excel, Word, SharePoint, Google Workspace, Zoom, DocuSign, Slack, WordPress/Wiki).
Ability to maintain confidentiality of records and information.
Experience in university budgeting, permanent department budget and accounting, and familiarity with Kuali Financial System (KFS), UC Path, and ZotPortal.
Understanding of university administrative organization, policies, procedures, and practices.
Preferred: Bachelor’s degree in a related area and/or equivalent experience; administrative experience supporting an academic department.

Hourly pay range: $32.74 – $35.81.
