About the Role: Westminster University Athletic Facilities and Events Coordinator

This full‑time, twelve‑month position is responsible for the management of all home athletic events, external events, and athletic facilities. This includes oversight of all aspects of events: staffing, ticketing, setup, takedown, crowd monitoring, hiring and overseeing an event management team of part‑time staff and students; maintaining facilities in coordination with the Associate Athletic Director of Recreation and Facilities, and campus Facilities and Maintenance by submitting maintenance requests, monitoring progress on repairs and upgrades, and acting as a liaison between facilities, sport programs, coaches, and staff on facility needs. Westminster University is a member of the Collegiate Athletic Association (NCAA II) and the Rocky Mountain Athletic Conference.
Minimum Qualifications:
Bachelor's degree required.
Demonstrated and successful experience working with student‑athletes within an NCAA athletics department and comprehensive understanding of intercollegiate athletics administration.
Ability to monitor and manage a crowd.
Collaborative management approach; strong communication, leadership, organizational and relationship‑building skills; demonstrated planning and fiscal competencies; an understanding of the role of enrollment at a small private university; familiarity with program development and assessment; excellent problem‑solving abilities; and a commitment to equity, inclusion, and diversity.
Ability to work in a team‑oriented environment with high standards and goals.

Key Responsibilities:
Coordinate with campus departments for necessary program support services, including facilities arrangements, maintenance or building service & repair needs, and other services. Submit and process all event‑related requests for concessions, equipment, events, maintenance, repairs, security, scheduling, ticketing, and setup/takedown.
Coordinate all home games and postseason event activities and technical needs. Manage all aspects of events including concessions, customer service, crowd control, equipment setup, facility locker room cleaning, risk management & safety, facility setup/teardown, signage, ticketing, staffing & troubleshooting pre, post and during an event.
Manage and assign officials and visiting team locker room use as well as game‑day signage.
Create and distribute visiting team guides and/or pertinent game‑day information; coordinate practice time and walk‑through requests with coaches for home and visiting teams.
Inspect athletic facilities, courts, fields, and outdoor track/bleachers regularly and perform routine maintenance/cleaning of facilities and locker rooms, banner and/or windscreen repairs, or replacement, trash removal, airflow, and debris removal.
Manage and coordinate organization of equipment and storage facilities.
Supervise, plan, and develop all event work schedules, and complete required paperwork for all events staff. Hire, manage, schedule, train, and evaluate event staff.
Maintain accurate records of events and athletic facility equipment for annual reporting.
Follow college and athletics guidelines in the purchase of all equipment and services.
Able to adhere to and support the mission of the college, vision, and values, which include equity and diversity.
Comply with all NCAA, conference and athletic department rules and regulations.
Perform other duties as assigned.
Operational Requirements: Schedule outside normal business hours. This position requires an irregular work schedule including days, nights, weekends and some travel.
