This position is responsible for gathering and analyzing part failure information to support and maximize warranty recovery opportunities for King County Transit. Following manufacturer procedures, the incumbent processes warranty claims for new revenue vehicles, aftermarket parts, and special project installations performed within Vehicle Maintenance. This is a single-level classification that provides assistance in planning, organizing, and maintaining various warranty programs. Incumbents are expected to verify and research failures, submit warranty claims, and follow up with vendors to ensure warranty recovery per Warranty Administration requirements. The incumbent may assist with warranty contract specification preparation and will work under the direct supervision of the Chief of the Warranty Administration Group.

This recruitment may be used to create an eligibility list of qualified Transit Warranty Claims Analysts to fill future SDA vacancies in this classification. Job Duties Applying is a daily responsibility and a foundational expectation for all King County employees. In this role, you will apply equity and social justice principles that exemplify shared values, behaviors, and practices to all aspects of the work.
As the Warranty Claims Analyst, you will: Process original equipment manufacturer (OEM) and aftermarket parts warranty claims; review mechanical repair orders to ensure all required documentation is included for claim submission; code and enter claim data in manufacturer's automated claim systems; code, reconcile, and enter claim submissions, payments, credit memos, and related information in financial accounting system; monitor claim submissions for possible fleet defects to maximize warranty recovery opportunities. Organize and administer retrofits and parts exchange programs for vendors and vehicle fleets. Maintain warranty stock or supplies from Contractors and OEMs using various warehouse equipment such as forklifts, overhead cranes, and floor jacks. Maintain applicable warranty administration expertise parallel to fleet and technology changes. Administer warranty program for special project system technology, track replacement part warranty claims, and adjust to the fleet's evolving technology changes. Perform administrative and research tasks in support of the Warranty Administration program for the Transit Department. Perform related accounting, office tasks, equipment identification, and parts handling related to the warranty program. Respond to internal and external audit requests. Respond to requests for information from various internal and external customers; compile data required for claims tracking; reconcile warranty replacement parts and labor costs against customer invoices. Perform basic numerical calculations involving warranty claim preparation, accounts receivable, reconciliation of accounts and/or other applications. Conduct the initial research of component defects or failures by verifying the failures and reviewing work orders. Monitor fleet defect failures using an automated information system. Advise the Chief of the Warranty Administration Group of trends and/or patterns in defects, including the necessary documents to support research. Identify, sort, tag, and carry defective equipment for warranty claims processing to designated storage locations. Prepare the necessary documents to process claims and invoices using established procedures. Assist the Warranty Administrator in the day-to-day administration of a parts exchange and retrofit program by meeting with manufacturers or vendors in accepting and exchanging the warrantable components. Compose, draft, type, proofread and edit documents and correspondence. Process mailings and documents that may require attaching related correspondence or information; identify priority and/or time-sensitive matters; and maintain confidentiality. Perform other responsibilities for the program such as but not limited to filing, responding to routine questions regarding claims and account receivable activities, i.e., filing claims, reconciling accounts, shipping defective parts, and receiving exchange parts and occasional relocation of parts utilizing forklift when necessary. Recent experience with warranty related to processes, data accuracy, mechanical tasks, or inventory- or a combination of education and experience that demonstrates the ability to perform the job duties of this classification. Demonstrated skill and proficiency in using related software applications including Microsoft Word, Excel, Outlook, and SharePoint. Demonstrated organizational and problem-solving skills, including the ability to handle multiple competing priorities in a fast-paced environment. Proactive, adaptable, and capable of responding effectively to changes in workload demands. Detail-oriented and experienced in maintaining data accuracy and integrity. Ability or skill in handling sensitive information with discretion and maintaining confidentiality. Effective oral and written communication skills. Familiarity with legal terminology and documentation commonly used in procurement and contracting. Knowledge of warranty administration processes. Working knowledge of shipping and logistics procedures. Ability to read and interpret parts catalogs and/or technical publications to support warranty administration tasks. Additional Requirements:
Be able to perform basic levels of physical skills and regular kneeling, bending, squatting, reaching above and below the waist, pushing, pulling, lifting, and carrying items up to 50 pounds; occasionally, items up to 100 pounds with assistance. A physical with back strength and flexibility will be part of the pre-employment process once an offer is made. Must successfully obtain a US Forklift Certification.
