About the Transit Warranty Claims Analyst *This is an internal recruitment for King County Metro Transit.*

The Warranty Claims Analyst performs process‑based work where relationship building and excellent communication are critical to success. We look for people with strong curiosity, research capabilities, and experience working within set policies, guidelines, and regulations. The role supports and maximizes warranty recovery opportunities for King County Transit by gathering and analyzing part failure information. It involves processing warranty claims for new revenue vehicles, aftermarket parts, and special project installations performed within Vehicle Maintenance. The incumbent verifies failures, submits warranty claims, and follows up with vendors to ensure recovery per Warranty Administration requirements. The position may also assist with warranty contract specification preparation under the direct supervision of the Chief of the Warranty Administration Group.

Recruitment Information This is an internal recruitment to fill one Special Duty Assignment (SDA) Transit Warranty Claims Analyst vacancy at the Vehicle Maintenance Training Center. Eligibility lists may be created for future SDA vacancies and remain active up to 12 months from the posting date.

Responsibilities

Process OEM and aftermarket parts warranty claims, review repair orders, code and enter claim data in manufacturer automated claim systems, reconcile payments, and monitor submissions for fleet defect recovery.

Organize and administer retrofits and parts exchange programs for vendors and vehicle fleets.

Maintain warranty stock or supplies using warehouse equipment (forklifts, overhead cranes, floor jacks).

Provide warranty administration expertise parallel to fleet and technology changes.

Administer warranty program for special project system technology, track replacement part claims, and adjust to evolving technology.

Perform administrative and research tasks to support the Warranty Administration program for the Transit Department.

Respond to internal and external audit requests and customer inquiries regarding warranty claims and accounting.

Compile data for claims tracking, reconcile warranty replacement parts and labor costs against invoice.

Conduct initial research of component defects, verify failures, review work orders, and advise the Chief of the Warranty Administration Group of trends and patterns.

Identify, sort, tag, and transport defective equipment to designated storage locations.

Prepare necessary documents for claims and invoices using established procedures.

Assist in day‑to‑day administration of parts exchange and retrofit programs, coordinating with manufacturers or vendors.

Compose, draft, proofread, and edit documents and correspondence.

Process mailings and documents requiring related correspondence, prioritizing time‑sensitive matters and maintaining confidentiality.

Perform other responsibilities as assigned, such as filing claims, reconciling accounts, shipping defective parts, and relocating parts using forklifts when necessary.

Additional duties as assigned.

Minimum Qualifications

Recent experience with warranty processes, data accuracy, mechanical tasks, or inventory, or a combination of education and experience that demonstrates ability to perform job duties.

Proficiency in Microsoft Word, Excel, Outlook, and SharePoint.

Organizational and problem‑solving skills, handling multiple competing priorities in a fast‑paced environment.

Proactive, adaptable, and responsive to changes in workload demands.

Detail‑oriented with a focus on maintaining data accuracy and integrity.

Ability to handle sensitive information with discretion and maintain confidentiality.

Effective oral and written communication skills.

Interpersonal skills and ability to work with diverse team members.

Desirable Qualifications

Familiarity with legal terminology and documentation used in procurement and contracting.

Knowledge of warranty administration processes.

Working knowledge of shipping and logistics procedures.

Ability to read and interpret parts catalogs or technical publications to support warranty tasks.

Additional Requirements

Perform basic physical tasks, including regular kneeling, bending, squatting, reaching above and below the waist, pushing, pulling, lifting, and carrying items up to 50 pounds; occasionally up to 100 pounds with assistance.

Must obtain a US Forklift Certification; training will be provided.

Work Schedule Monday through Friday, 6:00 a.m. to 2:30 p.m. with Saturday and Sunday off. Position is non‑exempt and eligible for overtime.
