Executive Assistant – Ulta Beauty
Join the Ulta Beauty Marketing Leadership team as an Executive Assistant, providing a wide range of administrative support to senior marketing leaders.
Core Responsibilities
- Logistical support including schedules, agendas, communications, correspondence, presentations, and business travel.
- Handle extremely confidential material relevant to company operations, including phone calls, reports, presentations, and meetings.
- Lead special projects and create correspondence and materials for internal and external audiences.
- Collaborate with various staff and departments to support the Marketing leadership team.
- Plan, coordinate, and maintain executives' daily schedules, managing meetings, teleconferences, and frequent heavy travel arrangements.
- Handle inquiries and requests of varying complexity, often requiring research and follow‑up.
- Proactively manage projects, deliverables, and due dates, following up with key stakeholders to meet assigned deadlines.
- Maintain a professional environment by demonstrating core competencies in support of executives, visitors, and key partners.
- Show flexibility and adaptability to meet the dynamic nature of Ulta Beauty’s business and the working styles of the Marketing leadership team.
- Develop and compose correspondence, reports, and presentations as requested.
- Maintain confidentiality at all times.
- Coordinate with other Executive Assistants and Administrative Staff to cover any gaps or provide additional assistance.
- Maintain a high level of competence in the Microsoft Office program suite.
Qualifications & Experience
- 7+ years of executive‑level assistant experience.
- Experience supporting multiple leaders simultaneously.
- Most recent position preferably supporting an executive level leader of a publicly held company.
- Extensive experience with calendaring, organizing meetings, and making travel arrangements.
- Strong analytical, organizational, and project management skills.
- Ability to handle multiple tasks simultaneously, managing multiple clients and deadlines.
- Superior planning and organization skills.
- Proficiency with Word, PowerPoint, Outlook, and Excel.
- Excellent communication and interpersonal skills, with experience interacting with senior‑level executives and external partners.
- Positive and professional demeanor.
- Problem‑solving and helpful approach in dealing with others.
- Ability to handle the highest level of confidential information.
