Adams & Martin Group has partnered with a respected law firm to identify an experienced Litigation Legal Secretary for their San Francisco office. This is a full-time, hybrid opportunity offering a balanced work schedule and a collaborative team environment. The Litigation Legal Secretary will provide high‑level administrative and legal support to attorneys and paralegals, ensuring efficiency, organization, and professionalism in all aspects of litigation support.

Responsibilities

  • Prepare, draft, and proofread legal documents, correspondence, and shell pleadings with minimal supervision.
  • Maintain attorney calendars, travel arrangements, and coordinate meetings and conferences.
  • Perform advanced clerical and administrative tasks requiring knowledge of legal procedures and specialized terminology.
  • File complex legal documents in federal and state courts and assist with trial preparation and case management.
  • Process incoming mail, manage attorney time entry, and prepare expense reports.
  • Act as a liaison between attorneys, paralegals, clients, and regulatory agencies while maintaining strict confidentiality.
  • Provide administrative, overflow, and team support as needed, contributing to a smooth and efficient workflow.
  • Recommend and implement improved processes to enhance efficiency across the litigation team.

Qualifications

  • Minimum of seven years of litigation experience within a law firm environment.
  • Expert‑level knowledge of court procedures, protocols, and e‑filing requirements in state and federal courts.
  • Proficient in Microsoft Office Suite and familiar with court filing systems and procedures.
  • Strong written and verbal communication skills with exceptional attention to detail.
  • Highly organized, professional, and reliable with the ability to multitask and meet deadlines in a fast‑paced setting.
  • Demonstrated ability to work independently, exercise sound judgment, and handle confidential information with discretion.
  • Typing speed of 60+ WPM and ability to transcribe dictations accurately.
  • Flexible and adaptable to changing priorities, with a willingness to assist and collaborate across teams.
  • High school diploma or equivalent required; additional education or training preferred.

Work Environment

  • Full‑time position (Monday-Friday, 9:00 a.m.-5:00 p.m.; 35‑hour work week).
  • Hybrid schedule with a minimum of three in‑office days per week.
  • Professional and collaborative work environment supporting high‑level litigation matters.
  • Occasional overtime may be required based on case deadlines.
