Senior Academic Affairs Specialist role at
University of Chicago . The University of Chicago Biomedical Enterprise includes the Biological Sciences Division (BSD), the University of Chicago Medicine (UCM), and the Pritzker School of Medicine. The BSD Office of Academic Affairs (OAA) supports the lifecycle of academic appointees, including searches, appointments, reappointments, promotions, and related activities. The Senior Academic Affairs Specialist will focus on managing compliant search, recruitment, and outreach efforts, assist in preparation and submission of academic appointment, reappointment, and/or promotion cases, and provide guidance on policy and process matters to faculty and administrative leaders. Responsibilities
Works independently to manage key components of day-to-day academic recruitment operations to support compliant search, recruitment, and outreach efforts. Uses existing policies, procedures, systems, and communication skills to ensure efficient processing and compliance. Processes job postings for faculty and other academic appointments in alignment with University and divisional policies and procedures. Facilitates review of offer cases by OAA, Divisional, and University stakeholders. Proofreads and releases offer letters; addresses requests for updates to offer letters (changes in terms, extensions, or cancellations). Supports the preparation, review, and submission of academic appointment, reappointment, and/or promotion cases to ensure appropriate cross-coverage as needed. Assists in processing visa materials as needed, in coordination with the University's Office of International Affairs. Serves as a resource to faculty and faculty administrative leaders on University policy and BSD academic guidelines. Resolves routine and complex questions referred by academic affairs administrators and stakeholders. Gathers and analyzes data, writes reports, and collaborates with the OAA team as needed. Contributes feedback to develop and improve tools, standards, and practices that streamline recruitment and human resources management for faculty and other academic appointees. Drafts correspondence on faculty and academic appointee matters on behalf of the Dean or designates. Assists in organizing divisional electronic files, databases, and the website for efficiency and improved user experience. Creates training and programming for faculty and chair development. Prepares and presents analyses, reports, and marketing materials for diverse audiences. Participates in committees and collaborates with colleagues and partners. Performs other related work as needed. Qualifications
Education : Minimum requires a college or university degree in a related field. Work Experience : 5-7 years of work experience in a related job discipline. Certifications : Not specified beyond preferred qualifications. Preferred Qualifications
