Overview
Senior Administrative Assistant (Front Office)
– Dutch Ridge Consulting Group, LLC (DRCG), a diverse professional services firm. We provide technical support staff at ten locations nationwide, with corporate offices in Beaver, PA and Ashburn, VA. Our capabilities include Systems Integration (SI), IT solutioning, Program Management, Risk Management, Business Process Reengineering (BPR), Requirements Engineering, Workflow Solutioning, and Business Consulting Services. Established in 2016, DRCG holds a TS facility clearance, is 100% US owned, and has over 50 employees (97% hold a Secret clearance or higher). DRCG optimizes client investments by leveraging expertise to manage the growth and transformation of IT environments. Responsibilities
Create, customize, prepare, and maintain presentations, briefing charts, and documents using Microsoft Office Suite and other presentation materials. Review and modify correspondence for internal consistency and conformance. Maintain and update the management calendar within the assigned Units/Sections and coordinate meetings. Coordinate and support meetings and special events, including amenities, accommodations, visit requests, and collection of funds. Schedule accommodations for meetings, record lunch requests, notify attendees, coordinate video teleconference requirements, and handle special meeting/conference requirements (parking, registration desk, name plates, etc.). Obtain and distribute read-ahead material for management meetings. Prepare travel requests; arrange travel and lodging; coordinate schedules for visits. Maintain conference room reservation schedules for coordinating meetings and visits. Enter data and maintain office databases (organizational charts, personnel accountability, travel, training, budget). Maintain professional data and serve as records manager with office files. Collect, review, archive forms (leave requests, employee work schedules, telework applications) and enter data into the timekeeping system for review. Coordinate and organize electronic materials, presentations, and documents using databases, servers, and SharePoint. Prepare property turn-ins and process training requests, travel vouchers, conference requests, and personnel documents for conformance to policy prior to signature. Organize completed personnel documents and deliver document packages for personnel actions (civilians, contractors, students, guest researchers). Respond to administrative queries by deadline; keep accurate records of final disposition and inform the appropriate action officer of results. Receive and screen visitors and phone calls; answer the office line, take messages, and refer calls/visitors to appropriate staff. Operate shared office equipment and submit repair requests as needed. Adhere to SOPs and IOPs provided as Government Furnished Information (GFI) related to personnel accountability, security, and safety. Prepare and review correspondence for grammatical accuracy, tone, and formatting; make corrections as needed. Participate as a member of Integrated Product Teams (IPTs) or groups developing improvements to administrative processes. Qualifications/Requirements
Active/current Top Secret clearance. High school diploma and six (6) years of general front office/executive administration experience; a Bachelor’s degree or relevant training may substitute for experience. At least two (2) years of experience supporting Senior Executives. Knowledge and experience using Microsoft Office Suite, specifically PowerPoint, Excel, and Word. Strong oral and written communication skills. Experience operating standard office equipment (telephones, copy machines, scanners, computers, printers, shredders). Job Location
