Executive Administrative Assistant
The Building People has an opening for an Executive Administrative Assistant to support our federal client. The role will perform a variety of administrative functions to support the operations of a program office, specializing in non‑routine tasks, project monitoring, finance oversight, and preparation of complex briefings. This position requires proficiency with Microsoft Office Suite 2010 or later, Outlook calendar management, and comprehensive event and travel planning.
Responsibilities
Support senior executives and a program office with advanced administrative tasks.
Manage multiple calendars, schedule meetings, and coordinate domestic and international travel.
Prepare agendas, briefing materials, and complex PowerPoint presentations.
Track incoming issues addressed to the Director & Deputy Director, ensuring timely responses.
Maintain digital and paper files, serve as office receptionist, and provide customer service.
Provide conference and travel administration support to Operations Team and Program Managers.
Manage conference room scheduling and set‑up, including webinars and videoconferences.
Oversee logistics for monthly All‑Hands meetings, ensuring remote attendee support.
Support the development of Travel Authorizations and manage travel fund expenditures.
Assist in creating process documents such as travel, onboarding SOPs.
Functional Areas
Manages multiple calendars and schedules meetings.
Prepares agendas and briefing materials for internal/external meetings.
Arranges and coordinates domestic and international travel.
Composes and prepares correspondence for senior management.
Tracks and addresses incoming issues to Director & Deputy Director.
Monitors and responds to emails.
Prepares draft PowerPoint presentations and reports.
Maintains digital and paper files.
Serves as office receptionist and customer service representative.
Provides conference administrative/travel support to Operations Team and Program Managers.
Manages conference room scheduling and set‑up, including webinars and videoconferences.
Manages logistics of monthly All‑Hands meetings.
Support development of Travel Authorizations and managing the expenditure of travel funds.
Support in development of process documents such as travel, onboarding, and general SOPs.
Required Experience & Skills
Minimum 6 years of experience.
Proficiency in Microsoft Office Suite.
Strong writing and editing skills.
Required Education
Minimum B.S. or B.A. in Business Management or related discipline.
