Overview Lease Administrator — The Levine Organization (commercial real estate). We are seeking a detail-oriented Lease Administrator to join our commercial real estate team and oversee the lease lifecycle for our portfolio of Class A office properties. This role is responsible for ensuring accuracy and compliance in lease management, tenant communications, and financial tracking. The ideal candidate is highly organized, deadline-driven, and experienced with Yardi software.

Key Responsibilities

Coordinate new leases, renewals, and modifications with ownership and outside counsel.

Maintain and manage commercial lease agreements, ensuring accuracy and compliance.

Track critical lease dates, including renewals, expirations, rent escalations, and options.

Abstract lease data and ensure accurate entry into Yardi.

Calculate and prepare monthly escalations (insurance, taxes, rent increases).

Generate and distribute monthly rent invoices to tenants.

Draft tenant correspondence, including billing inquiries, default notices, and security deposit returns.

Provide lease-related documentation for annual financial reporting.

Prepare broker commission agreements and track leasing activity.

Update ownership reports on current leasing status.

Process accounts payable invoices (scanning, coding, and routing for approval/payment).

Assist ownership with real estate tax certiorari filings.

Maintain organized electronic and physical lease files.

Support the Controller and Property Manager as needed.

Qualifications

Prior experience in lease administration or commercial property management preferred.

Strong organizational skills and attention to detail.

Excellent written and verbal communication skills.

Ability to manage multiple priorities and meet deadlines.

Notary license and/or HR experience a plus (not required).

Compensation and Benefits

Base Salary Range: $65,000 – $85,000, commensurate with experience.
