Job Description The Practice Assistant (PA) provides support to an assigned group typically comprised of partners, counsel, senior associates, professional specialists and others on a case-by-case basis. PAs are cross trained to support other similar groups as well as their assigned group. PAs are part of an onsite support team that requires a level of in-office support to meet the overall business needs of the firm. The initial training period requires an onsite schedule, 5 days in office, Monday through Friday. A hybrid work schedule is available once training is complete.

Responsibilities
Provide high-level practice- and client-facing administrative support for assigned timekeepers and others as requested. The Assistant is proactive and responsive, effectively and efficiently managing workload as well as requests for information.
Prepare documents quickly and accurately; proofread own and others' work; offer suggestions for improvement; answer phones promptly with a friendly, professional tone; gather information to prepare helpful, timely, accurate messages; perform administrative tasks in firm systems (e.g., InterAction, Workshare, Chrome River).
Proactively manage calendars, coordinate meeting logistics (AV, catering, special needs); inform callers when an attorney will be available; maintain knowledge of ongoing matters; prepare for next steps and court filings; open new matters and prepare engagement letters; maintain up-to-date contact lists; assist in tracking CLE requirements and attorney renewals.
Support practice development initiatives such as on-site events and management of attorney client relationships; maintain desk procedures reflecting individual attorney/client preferences.
Coordinate services for copy/print, review for accuracy, handle faxes, mail/shipping, and maintain organized files including offsite storage when needed.
Foster a cooperative, positive work environment; back up team members; assist with time entry and billing; coordinate travel plans; process expenses and invoices with correct coding.
Work independently with confidence, project a professional image to clients and colleagues, and take pride in representing the firm.
Identify training needs and pursue professional development; stay updated on jurisdictional rules relevant to assigned attorneys; share knowledge with the support team.
Embrace new technical solutions and attend firm-sponsored training to maintain required skill level.
Perform other duties as assigned.
Qualifications
Minimum 3 years of relevant experience within a law firm setting.
Bachelor’s Degree required. Experience in lieu of a degree will be considered.
Notary Public certification preferred.
Excellent verbal and written communication skills.
Attention to detail with the ability to handle difficult situations and meet deadlines.
Strong interpersonal skills and the ability to work with personnel at all levels.
Strong research, proofreading and editing skills.
Proficient in Microsoft Office Suite (Excel and PowerPoint).
Ability to work independently with minimal supervision and manage multiple tasks concurrently.
Willingness to learn new skills involving Litigation law.
Compensation and Benefits Salary range for San Francisco, CA: $77,000 to $110,000 per year, depending on location. In addition to a standard benefits package, the role may be eligible for contingent compensation based on performance, location, experience, education, and qualifications. Salary ranges are Nixon Peabody’s good faith estimates at the time of posting.
