Position Summary:

The Executive Assistant provides high-level administrative and operational support to senior executives in a manufacturing or food and beverage environment. This role ensures efficient management of executive schedules, communications, and key projects while maintaining confidentiality and professionalism. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced production environment.


Responsibilities:

  • Manage and coordinate executive calendars, meetings, and travel arrangements.
  • Prepare, edit, and distribute reports, presentations, and correspondence.
  • Act as a liaison between executives, internal teams, and external stakeholders.
  • Coordinate and track action items, follow-ups, and key projects across departments.
  • Assist with budget tracking, expense reporting, and departmental communications.
  • Support meetings by preparing agendas, taking minutes, and ensuring timely distribution of materials.
  • Organize events, board meetings, and other executive-level functions as needed.
  • Maintain confidentiality of sensitive business information and communications.
  • Assist with special projects, process improvements, and cross-functional initiatives.


Qualifications:

  • 3+ years of experience as an Executive Assistant or Administrative Professional, preferably in manufacturing, food production, or similar industrial environment.
  • Strong organizational and time-management skills with the ability to prioritize competing demands.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with ERP systems preferred.
  • Ability to work independently and collaboratively in a fast-paced, deadline-driven environment.
  • Strong attention to detail, problem-solving skills, and professional demeanor.
  • Familiarity with manufacturing operations, plant environments, or supply chain processes is a plus.
