About the Role: The Accounting Assistant supports the Accounting Department at Daza Management, handling day-to-day bookkeeping, payroll coordination, and financial reporting across multiple entities within the ecosystem. This role is ideal for a detail-oriented, proactive individual who thrives in a fast-paced environment and enjoys managing complex, multi-entity accounting workflows.
Responsibilities:
- Daily Transactions
- Record income and expenses for entities.
- Maintain accurate categorization and data entry in QuickBooks Online (QBO).
- Reconcile bank and credit card accounts; oversee Level 1 reconciliation.
- Research uncleared checks, document findings, and report to management (for all entities).
- Monitor and maintain accurate bank feeds in QBO.
- Accounts Payable and Accounts Receivable
- Enter bills and process vendor payments for entities.
- Ensure all payables are properly coded and paid within scheduled timelines.
- Generate and send client invoices for entities.
- Record and apply payments accurately in QBO.
- Budgeting & Reporting
- Assist in preparing monthly reports and financial statements.
- Compare actuals vs. budget and participate in first‑level review training for budget setup.
- Support management in maintaining accurate cash flow tracking.
- Compliance & Tax Support
- Verify and maintain proper categorization in QBO to ensure compliance.
- Collect and file W-9 forms from eligible vendors for year‑end 1099 reporting (for all entities).
- Assist in preparing documentation for tax filings as needed.
- Client Settlements (Personal Injury Law Division)
- Review settlement reports with PI Legal Assistant, identify issues, and escalates for resolution.
- Learn and document case settlement procedures.
- Prepare and maintain summary reports of settlement activities.
- Payroll Support Tasks
- Coordinate payroll activities through ADP for entities.
- Verify payroll deductions, benefits, and PTO accuracy.
- Ensure payroll liabilities are correctly paid and reconciled.
- Review payroll registers and summaries for accuracy (training to take over later).
- Verify ADP filings for taxes (W‑2, 941/940, TWC) and compliance accuracy.
- Assist in calculating wages, withholdings, and benefits during the training phase.
- Progressively train to take over payroll processing and reporting functions.
- QuickBooks Online (QBO) – daily transactions, reconciliation, reporting.
- ADP – payroll processing, verification, and compliance tracking.
- Microsoft Excel / Google Sheets – reporting, budgets, and data analysis.
- Ability to learn and adapt to integrated accounting workflows across multiple entities.
Qualifications:
- Bachelor’s degree in Accounting, Finance, or related field (preferred).
- 2–4 years of experience in bookkeeping or accounting.
- Proficiency with QuickBooks Online (QBO) and ADP required.
- Experience in multi‑entity accounting or professional service industries preferred.
- Excellent communication and organizational skills.

Compensation:
Full‑time, salaried position 58,000‑60,000 per year including PTO, Health Insurance and other fringe benefits
