TITLE: SECRETARY, STUDENT RECORDS/MIS Job Description
QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each
essential duty satisfactorily. The requirements listed below are
representative of the knowledge, skill and/or ability required. Reasonable

Education and/or Experience: High school diploma. Keyboarding proficiency of at least 60 words per
minute. Minimum of two years of secretarial experience.
Interpersonal Skills: Possesses ability to handle multiple tasks simultaneously. Possesses good
telephone skills. Possesses ability to establish and maintain cooperative working relationships with
others in the course of work. Demonstrates ability to communicate with staff, students and community
members in a professional, respectful manner. Demonstrates ability to promote a positive team work
environment.
Language Skills: Ability to read and interpret documents. Ability to write simple correspondence.
Ability to communicate effectively in English, both written and oral.
Mathematical Skills: Basic mathematical skills, such as the ability to add, subtract, multiply and divide.
Reasoning Ability: Ability to apply common sense understanding to carry out detailed but uninvolved
written or oral instructions. Ability to deal with problems involving a few concrete variables in
standardized situations.
Other Skills and Abilities: Ability to perform duties with awareness of and in compliance with all
district requirements and Board of Education policies.
Computer Skills: Possesses intermediate level computer skills, including word processing and desktop
publishing experience. Additional computer skills are desirable.

While performing the duties of this job, the employee is regularly required to sit, talk and hear. The
employee frequently uses hands and fingers to handle or feel objects. The employee frequently is

above the head and reach forward. The employee must occasionally lift and/or move up to 50 pounds

TITLE: SECRETARY, STUDENT RECORDS/MIS
REFERENCES: References must be provided.
REPORTS TO: Assistant Principal
JOB GOAL: To implement all computer aspects of student recordkeeping
CONDITIONS OF EMPLOYMENT:
TwelveEleven-month position with salary and conditions of employment in compliance with the
agreement between the Woodstock School Related Personnel, Local 1642, IFT/AFT and the
Board of Education.
PERFORMANCE RESPONSIBILITIES:
I. Attendance Duties:
Conducts computer applications of daily attendance for the district, including the following:
a. Problem-solving of any system/software errors or problems
b. Providing mailing labels for all schools
c. Providing end-of-month, end-of-year, enrollment, excessive absence, inactive student and
transportation reports for the high school
d. Generates period-by-period attendance information for the high school
II. Scheduling Duties:
Assists with implementing student scheduling for the high school, which includes the
following:
a. Input of courses, teachers, student requests and any information necessary to schedule
students
b. Provides all requested reports, including request verifications, request tallies, room usage,
student schedules, class rosters, study hall rosters, and ID and address lists
c. Provides teachers with copies of their schedules
d. Processes student schedules
e. Maintains accurate student data base as changes occur
f. Compiles placement recommendations
g.
h. Schedules building duties related to student and master schedule needs
III. Grade Reporting Duties:
Assists with implementing grade reporting procedures at the high school, including the
following:
a. Inputs and processes course weight, course credit, grade values and comments
b. Inputs and processes student grades
c. Inputs and processes grades for Drivers Ed BTW, assistantship for grade credit, PE
medical exempt, and drop with "F"

d. Provides all student report cards and related reports, such as class rank, honor roll, "F"
list, grade distributions, and permanent record labels
e. Mails report cards at the end of each semester and progress reports at Quarter and Interim
f. Builds reports for ESchool to assist in data collection
g. Prepares end of year grade checkout for PE and Music teachers, working with PE
Department Chair
IV. Additional Duties:
a. Maintains assistantship records and checks students for excessive or below-load hours
b. Maintains "P/N" records and checks students for excessive hours
c. Enters transfer credit into the student records system
d. Prepares and inputs corrections after receiving transcripts for courses taken at schools
other than Woodstock High School (McHenry County College, American School, etc.)
and records on permanent record cards
e. Corrects errors made in grade reporting on permanent record cards and in computer
f. Prepares reports as requested, such as school report card, fall-housing, etc.
g. Prepares data for Pick-a-Time, MAP, Keytrain and Cum Laude
h. Prepares all data for state reports and state testing
1. Participates in staff development activities and computer classes to maintain and improve
job-related skills.
2. Protects the confidentiality of district and office records and information unless authorized
and directed by the superintendent to provide same when requested under the Illinois
Freedom of Information Act.
3. 3.Protects the confidentiality of student records and information according to Board of
Education policy and regulations, Illinois Student Records Act and the Family Education Privacy Act.
