As a Service Dispatch Coordinator, you will serve as the primary contact for our customers and technicians in managing and scheduling service tickets. Your role will involve coordinating technicians' schedules, addressing urgent service requests, and ensuring timely adjustments to ETAs as required. You will also be expected to assist your supervisor or manager with any work-related requests.
Key Responsibilities Include:
Handling incoming customer calls with professionalism.
Scheduling and coordinating service calls efficiently.
Creating and managing dispatch tickets for service requests.
Assigning service technicians to calls and maintaining communication.
Conducting debrief sessions with technicians after each service call.
Updating the system with on-call technician schedules and time-off requests.
Responding promptly to emails and messages from various mailboxes.
Maintaining the dispatch board and service schedule.
Forecasting workload for 23 days in advance.
Contacting customers regarding pending parts status as they become available.
Participating in daily conference calls with District Service Managers to address SLA and technician availability issues.
Providing on-the-job training when needed.
Supporting technicians with ticket information, directions, and necessary parts.
Acknowledging new tickets and updating existing ones in the system.
Minimum Qualifications:
High School Diploma required; some college coursework preferred.
1-3 years of experience in customer service or a call center environment.
Typing speed of at least 40 words per minute.
Strong multitasking and prioritization abilities.
Ability to follow both written and verbal instructions effectively.
Demonstrated urgency and accuracy in performing duties.
Excellent interpersonal communication and organizational skills.
A positive attitude and commitment to continuous improvement.
Experience interfacing with customers in a professional manner.
Ability to thrive in a team-oriented environment.
Proficiency in Microsoft Word and Excel.
