Departmental Overview The Department of Intercollegiate Athletics consists of more than 250 staff members and coaches; we sponsor 30 varsity sports programs, with over 850 student‑athletes participating annually in the NCAA.

Position Summary This position will provide key administrative and general logistical support to the Director of Player Personnel and the Director of Recruiting. The Recruiting Operations Assistant will provide primary advance planning support for all visiting prospects (official and unofficial) while helping ensure compliance with NCAA rules. Additional responsibilities include monitoring ACC Conference and national peer recruiting activities, and providing updates to the Recruiting Department in weekly strategic planning sessions.

Responsibilities

Plan, coordinate, and execute official and unofficial prospect visits throughout various phases of the NCAA recruiting calendar.

Customize impactful experiences for priority prospects that highlight the advantages of attending Cal.

Maintain and manage the prospect database.

Prepare prospect data reports for regular unit and football staff presentations.

Monitor recruiting activities of opponents and include key competitive data in the database to better prepare recruiting strategies for priority prospects.

Provide travel logistics support to coaching staff.

Coordinate complex travel itineraries for entire staff during designated NCAA contact and evaluation periods in the Fall, Winter, and Spring.

Collect prospect feedback and conduct competition analysis.

Perform additional duties, including career development support.

Required Qualifications

Thorough knowledge of program activity and best practices.

Problem‑solving skills; ability to multi‑task, work with frequent interruptions, and be an effective listener.

Highly effective verbal and written communication skills in English.

Proficiency in the use of basic computer applications relevant to job duties.

Extensive experience in football recruiting visit planning and execution.

Ability to establish and maintain cooperative relationships with internal and external constituents.

Strong communication skills (written and verbal) and interpersonal skills.

Ability to maintain confidentiality.

Attention to detail.

Proficiency in FileMaker, Microsoft Office (Excel, Word), and common desktop/web applications.

Working knowledge of current social media sites (Facebook, Twitter, Instagram, etc.).

Experience with JumpForward or another recruiting‑based database.

Previous experience within recruiting or admissions on a Division I campus.

Knowledge of applicable rules and regulations of the Pac‑12 Conference, the NCAA, and other relevant agencies.

Bachelor's degree in a related area and/or equivalent experience/training.

Preferred Qualifications

Previous experience within recruiting or admissions on a Division I campus, preferably within an Intercollegiate Athletics department.
