Job Description The Department of Neurobiology at Harvard Medical School is seeking a detail-oriented and dependable Administrative Coordinator to support all facets of Neurobiology HR operations for academic, student, and contingent worker populations.
Reporting to the Associate Director of Research Administration and Finance, the incumbent will play a key role in hiring, onboarding, appointment maintenance, payroll/timekeeping coordination, and compliance activities. The Administrative Coordinator also acts as a key liaison with faculty, departmental administration, Harvard central offices, and external partners including the Harvard International Office (HIO). The successful candidate will be highly organized, proactive, and adept at managing multiple processes in a dynamic academic environment with a high degree of discretion.
Core Duties
Act as the primary source of information on all lab personnel appointment matters, including policies and processes, and actively partner with hiring managers and the Department's faculty.
Manage personnel-related systems and databases.
Assist in all lab personnel hiring activities, including position postings and minors program requests, and onboarding activities, including intake, offer letter drafting and appointment processing.
Facilitate position maintenance activities with HMS HR, including coordinating all aspects of visa initiation and renewal with the Harvard International Office (HIO).
Coordinate with Neuro administrative/financial staff regarding personnel matters.
Serve as the department liaison to HMS HR, Payroll, HIO, and other relevant central offices.
Support department timekeeping and payroll activities.
Participate in departmental process and workflow improvement initiatives.
Ensure compliance with University Human Resources policies, procedures, and requirements and applicable legal regulations.
Qualifications Basic Qualifications:
4 or more years of experience. Higher education may count towards experience.
Additional Qualifications and Skills:
Bachelor's degree or equivalent work experience required.
Minimum of 2 years' relevant HR experience.
Knowledge of hiring/appointment processes in an academic research environment.
Knowledge of Microsoft Office Suite and Harvard HR/appointment applications, including Apex, ARiES, Peoplesoft, Harvard Careers, YPO.
Working knowledge of Federal/State employment regulations and requirements, and HR policies and practices; financial/business acumen.
Additional Information
Term : This is a two-year term position from the date of hire, with the possibility of extension, contingent upon work performance and continued funding to support the position.
Standard Hours/Schedule : 35 hrs. per week | Monday - Friday | 9:00 am - 5:00 pm
