Responsibilities
- Answer and direct phone calls courteously and professionally.
- Manage incoming and outgoing correspondence, including letters, packages, and emails.
- Organize and maintain compliance material reports files (Submittals, SDS, Maintenance & Warranty, Samples).
- Manage office supplies to ensure continuous availability, proactively restocking as necessary.
- Assist with data entry (specifically entering invoices into QuickBooks).
- Invoice approval process, and other clerical tasks as required to support the team's workload.
- Maintain office organization in common areas, contributing to a pleasant and productive workspace for everyone.
- Collaborate effectively with team members to support overall business operations, sharing information and assisting where needed to achieve common goals.
Qualifications
Required:
- Bilingual (Spanish & English)
- High school diploma/GED
- Previous experience as an Administrative Assistant or in a similar position
- Excellent computer skills and knowledge of Microsoft Office
Preferred:
- Associate’s degree or administrative training is preferred
- Familiarity with QuickBooks
- Highly organized with excellent time management skills and the ability to multitask.
- Familiarity with Flooring Materials is a plus.
