Executive Assistant – CEO – Epilepsy Foundation

The Executive Assistant provides high‑level administrative support to the CEO and Board of Directors, operating with confidentiality, professionalism, and proactive problem solving. The position requires independence, digital efficiency, and strong communication skills. Will travel as needed and work on an EST schedule.
Responsibilities
Support to the CEO
Strategic calendar management: prioritize commitments, resolve conflicts, and ensure smooth daily operations.
Email and communications: structure inbox, coordinate messages between CEO and stakeholders.
Daily CEO briefings: update on upcoming engagements and anticipate needs.
Meeting management: coordinate executive meetings, take notes, track action items.
Liaison: primary contact for internal and external constituencies, reflecting CEO style.
Project coordination: manage special projects and organizational initiatives.
Travel and expense: arrange travel, reconcile credit card statements, process expense reports.
Act under delegated authority from the President/CEO.
Support to the Board of Directors
Liaison: primary contact for board members, coordinate logistics.
Meeting management: draft agendas, circulate materials, record minutes.
Governance support: draft minutes, maintain corporate documents, facilitate board elections.
Other Administrative and Executive Support
Draft, proofread, and edit agendas, itineraries, minutes, memos, and correspondence.
Maintain confidential information and electronic filing systems.
Manage highly sensitive data and records.
Additional Responsibilities
Other projects and duties as assigned.
Supervisory Responsibilities
This position does not have supervisory responsibilities.
Education and Experience
Minimum of 3 years as an Executive Assistant or similar role directly supporting a CEO, C‑level executive, or Board of Directors.
Experience managing highly confidential information.
Experience managing multiple high‑level projects.
Knowledge, Skills, and Abilities
Strong project‑management and collaboration skills.
Knowledge of nonprofit structures and administrative procedures.
Advanced proficiency in Microsoft Office (Outlook, Teams, Excel, PowerPoint) and Adobe Acrobat.
Advanced expertise with Zoom and Teams video‑conferencing platforms.
Experience with Onboard, Salesforce, PN3, Egencia, ADP, and AI project‑management tools.
Ability to assess priorities and make decisions.
Strong professional communication skills, internally and externally.
Experience reconciling credit card and expense reports.
Ability to manage highly confidential and sensitive information.
Work Environment, Travel, and Physical Demands
Remote position based in the Eastern Time Zone.
Full‑time, 35 hours per week, Monday–Friday, core hours 10 a.m.–4 p.m. EST.
Regular use of office equipment in a remote environment.
Must sit for extended periods at a computer, lift boxes as needed, and set up meeting spaces.
Travel up to 25 % for meetings and events.
Expected to regularly attend Foundation meetings and trainings.
Salary Range
$70,000 – $73,000
