Overview
Virginia Family Services (VFS), Inc. is seeking a polished, highly organized, and experienced Executive Assistant to work directly with the CEO in an on-site, in-person position. This role requires exceptional professionalism, superior people skills, and the ability to operate with discretion and executive maturity. The ideal candidate will bring 8+ years of experience supporting senior or C-suite leadership, thrive in a fast-paced environment, and demonstrate outstanding leadership and independent-work capabilities. Key Responsibilities
Serve as the primary executive support professional to the CEO, managing schedules, communications, priorities, and strategic tasks Handle high-volume workflow, shifting priorities, and time-sensitive requests with poise and accuracy Prepare, edit, proofread, and manage executive-level correspondence, reports, and confidential documents Maintain strict confidentiality and manage sensitive information with the highest level of integrity and professionalism Coordinate meetings, travel, internal communications, and special projects Greet and support internal and external guests with professionalism and courtesy Maintain organized filing systems and ensure efficient office operations Work independently with minimal supervision while also collaborating effectively with others as needed Demonstrate strong leadership presence while supporting executive-level functions Required Qualifications
Minimum of 8 years supporting senior-level or C-suite executives Expert-level proficiency in:
Microsoft Word Excel SharePoint OneDrive
Strong knowledge of Outlook & Teams Exceptional people skills and communication abilities — verbal, written, and interpersonal Ability to manage high volume, fast-paced tasks and pressures effectively Proven leadership qualities with the ability to work independently and make sound decisions Excellent time-management, multitasking, and organizational skills Strong judgment, problem-solving abilities, and proactive initiative Typing speed 55–60 wpm In-person position only – no remote option Ability to maintain strict confidentiality and professionalism at all times Preferred Attributes
Experience in behavioral health, healthcare, nonprofit, or professional services environment Experience supporting a CEO, Board of Directors, or executive leadership team Strong customer-service orientation and executive presence Prior experience coordinating executive events or internal communications Preferred Qualifications
Bachelor’s degree in Business Administration, Executive Office Management, Communications, or related field (Master’s degree a plus) Master-level proficiency in working with online platforms, Learning Management Systems (LMS), and Electronic Health Record (EHR) systems Previous experience supporting a CEO, Executive Director, Board of Directors, or C-Suite leadership Experience in behavioral health, healthcare, or nonprofit organizations Demonstrated ability to lead administrative functions and enhance office systems and workflows Experience coordinating special projects, staff communication, and corporate events Strong customer-service orientation with an executive-level professional presence Experience handling sensitive organizational, HR, and financial documents with confidentiality Ability to anticipate executive needs, exercise sound judgment, and provide proactive support
