Primary Purpose of the Organization: The primary purpose of the MS3 NSF S- STEM Program is to provide scholarships for 3 cohorts of 10 students that pursue bachelor’s degrees in biology, forensic science, mathematics, computer science, or cybersecurity. Scholars will receive faculty and peer mentoring, and the project will build strong scholar cohorts through co-enrolled coursework, STEM outreach, seminar participation, and residential learning communities. Additional activities for scholars include course-based research experiences, intramural and extramural research internships, professional development workshops, and conference presentations.

Primary Purpose of the Position: The primary purpose of the position is to manage and coordinate grant activities for the MS3 NSF S- STEM Program Grant.

Responsibilities 60% – Program Management:

Responsibilities include ensuring compliance with grant guidelines and meeting all reporting deadlines. Key tasks involve preparing for grant meetings (agendas, minutes, and follow-up actions), organizing workshops, managing the grant budget, and tracking all grant-related documentation such as contracts, agreements, and reporting requirements. This role also requires close collaboration with campus departments and external grant partners to gather information, prepare and submit grant documents, and monitor the progress and outcomes of project activities.

30% – Program Activity Coordination:

Assist with planning, organizing, and managing student or leadership program events and activities. Coordination responsibilities include supporting scholar activities such as course-based research experiences, intramural and extramural research internships, professional development workshops, cohort meetings, and conference presentations. The coordinator will help ensure that events run smoothly, track student participation, and foster an environment that promotes collaboration, professional growth, and academic success.

5% – Marketing and Recruiting:

Represent the program at university and community-sponsored recruiting events. Develop and distribute digital marketing materials to promote program initiatives. Maintain and update the university program webpage and manage program-related social media accounts. Draft press releases and collaborate with the Office of Strategic Communications to submit media requests and ensure publication of program achievements.

5% – Travel/Travel Coordination:

Arrange travel for students, staff, and faculty to attend meetings, conferences and workshops; arrange flight schedules, hotel reservations and conference registration; assist with travel arrangements for educational field trips and college tours for participants; complete the necessary forms for initiating local, state, regional and national travel; verify travel arrangements by conducting a follow‑up on the requests submitted.

Minimum Education and Experience Requirements

High School Diploma or equivalent

Two years of work experience, preferably some involving program management and/or administrative

Strong organizational and communication skills

Knowledge, Skills and Abilities

Experience working with undergraduate STEM students

Demonstrated level of professional customer service and interpersonal communication skills

Knowledge of principles and practices of basic office support and management

Intermediate level knowledge of Microsoft Word, Excel, PowerPoint, Access, Canva/Adobe, and Outlook; ability to train on and learn new computerized systems

Keen attention to detail, problem solving skills, and ability to maintain confidentiality while managing competing priorities

Ability to communicate and work alongside faculty, staff, students, vendors, and outside guests of the University in an effective and professional manner.

Excellent writing and speaking abilities

Experience with budget management and grant or program compliance

Preferred Qualifications A Bachelor of Science or Bachelor of Arts degree. The candidate should possess good oral and written communication skills, computer literacy, and experience with MS Word, PowerPoint, Canva/Adobe, and marketing. The candidate should possess experience in organizing and arranging events/activities. Experience working with undergraduate STEM students and demonstration of strong organizational, interpersonal, and budget management skills. Familiarity with grant compliance and university program coordination is a plus.
