Associate Director of Events & Engagement The Associate Director of Events & Engagement is responsible for creating, coordinating, and managing meaningful events – both fundraisers and friend-raisers – in order to increase community engagement with the School. A majority of the role’s time will be spent overseeing 10‑12 events of all sizes throughout the year, each with specific goals tied to overarching development objectives and outcomes. An additional priority is to provide support to the Tampa Prep Parents Alliance and Alumni Board, in collaboration with other members of the development team.

The ability to interact comfortably and develop positive relationships with internal and external constituencies is essential. Duties include:

1. Responsible for event coordination and management for the following development & school events:

August: Welcome Back Faculty party and New Parent Shindig

November: Terrapin Society Donor event and Alumni Thanksgiving Mixer

February: Grandparents Day

March: Gala

April/May: Volunteer Appreciation Lunch, Senior Yearbook Day BBQ, Alumni Reunion and 1974 Society Donor Event

June/July: Development Team Retreat

Other events as needed (will vary from year to year)

Event management includes the following tasks, and others as needed, depending on the event:

Establishing and executing the vision for each event each year

Pre‑event and post‑event communication and stewardship plans including invitations, individual and mass electronic outreach, and social media

Working with the Director of Development and other members of the development team to secure event sponsorships (new and renewed)

Auction item solicitation and online management

Volunteer recruitment and management

Logistics: working with vendors, facilities/security for on‑campus events, and calendar coordination and facilities requests for event support

Assisting the Director of Development with establishment of program timelines, run‑of‑show, messaging/scripts, audio/visual, printed materials, attendee lists, donor gifts, etc.

2. Act as liaison with the Parent leadership body (Tampa Prep Parents Alliance/TPPA) and Alumni Board by attending monthly meetings, as needed, including executive committee meetings, and helping to coordinate any communications, logistics for alumni events such as grade‑level coffees, socials, PrepFest, Senior Mom’s Lunch, Dad’s nights out, etc.

3. Assist with project‑based initiatives related to alumni engagement as determined by our strategic objectives each year; for example: regional alumni events, class reunion planning, marketing of alumni database platform, Day of Giving, etc.

4. Assist with project‑based initiatives – such as prospect cultivation and donor recognition events – related to any and all capital fundraising efforts as determined by our strategic objectives each year.

5. Other duties as assigned by the Director of Development and Head of School.

Required Skills and Qualifications:

Bachelor’s degree and a minimum of five (5) years of professional experience in strategic event planning, including fundraising and volunteer management

Ability to focus on both the big picture as well as the details, including post‑event follow‑through

Ability to manage numerous concurrent projects from inception to completion, utilizing effective time‑management skills, balancing multiple priorities, staying on budget, and building consensus among team members and stakeholders

Excellent interpersonal skills, including the ability to work effectively with large groups, establish meaningful relationships with individuals, be an individual contributor in addition to being a part of a team, and have a collaborative approach both internally and externally

Extremely organized, focused, and goal‑oriented, with a high level of initiative and energy

Outstanding problem‑solving skills and ability to show the use of good judgment in situations requiring independent initiative, sensitivity, and tact

Comfortable with technology, including donor databases and email marketing tools (Raiser’s Edge preferred), event management software (Qtego preferred), Google Drive, etc.

This position is in‑person full‑time with some work on weekends and evenings
