Base pay range $90,000.00/yr - $100,000.00/yr
Our client is looking for a proactive and detail oriented Legal Administrative Assistant to join a growing in‑house legal team. In this role, you will provide direct support to the General Counsel and assist the broader legal department with daily operations. You will help manage the workflow of a fast‑paced team handling a high volume of documents and time‑sensitive matters. The legal department supports every aspect of the company's operations, from transactions and compliance to personal legal matters involving trusts, real estate, and banking. This is a full‑time, hybrid position requiring at least three days per week in the office, with occasional local travel for notary‑related appointments.
Key Responsibilities
Prepare, format, edit, proofread, and redline legal documents with accuracy and attention to detail
Manage a high volume of work and meet tight deadlines by effectively prioritizing tasks and responsibilities
Oversee and track the execution of legal documents, both physically (ink signatures) and electronically (DocuSign)
Maintain organized physical and electronic filing systems in full compliance with company policies
Assist with document collection and data preparation for audits, transactions, and litigation matters
Monitor deadlines and follow up on complex projects involving multiple internal and external stakeholders
Proactively manage the General Counsel’s Outlook email and calendar (as and when requested) including providing reminders of responses needed and impending deadlines and obligations, calendaring internal and external meetings, calls, and deadlines, updating and completing a daily review of upcoming events and deadlines arranging and coordinating logistics for meetings, including video/audio conferencing, room assignments, handouts
Ensure all assigned tasks are completed accurately and on time with minimal supervision
Collaborate effectively with cross‑functional teams, including Tax, Accounting, IT, and Operations
Serve as a notary public for the legal team and provide notarial support to other departments when necessary
Perform additional duties and projects as assigned by management
Prepare and process expense reports and invoices, ensuring timely submission and follow‑up as needed
Support the maintenance of legal systems, databases, and document management tools
Draft and summarize reports or digests of legal updates and development as required
Assist with compliance, regulatory, and corporate governance initiatives
Attend and contribute to team meetings; serve as back‑up support to teammates as needed.
Qualifications & Skills Required
Minimum of 3‑7 years of experience providing legal or administrative support within a fast paced in‑house legal department or law firm
Exceptional organizational skills with the ability to prioritize, multi‑task, and perform effectively under pressure in a dynamic environment
Demonstrated ability to exercise discretion, professionalism, and sound judgement when handling confidential information
Excellent written and verbal communication skills
Proficiency in MS Office Suite (Outlook, Excel, Word and PowerPoint) and document management software, preferred experience with Netdocs, DocuSign, Salesforce, Asana, Adobe
Notary certificate or willingness to obtain notary qualification (not required but a plus)
Bachelor's degree required
Notary Public preferred (or willingness to obtain upon hire)
