Position Overview:

This position is for an organized and proactive administrative assistant, who will work directly with our office staff to ensure all administrative tasks are efficiently and effectively implemented. Must have strong interpersonal skills, the ability to manage multiple tasks at once, and a broad breadth of experience managing clerical and some bookkeeping responsibilities.

Administrative Assistant Job Duties and Responsibilities:

  • Welcome and greet clients and office guests.
  • Support office staff and executives with general operational tasks.
  • Plan and schedule meetings, presentations, and other office related events.
  • Perform general accounting and bookkeeping duties.
  • Receive payments and make deposits.
  • Introduce inventory to the ERP system and enter orders.
  • Keep the ERP system up to date.
  • Direct calls to people or take detailed messages.
  • Answer and send out faxes as needed.
  • Prepare outgoing mail and packages. Pick up the mail office mailbox.
  • Reserve conference space for meetings.
  • Send reminders regarding upcoming appointments.
  • Manage communication of information in and out of the office.
  • Type out correspondence letters, emails, memos, etc. (paper and electronic).
  • Assist in preparation of presentation materials.
  • Monitor and maintain office equipment.
  • Repair or replace malfunctioning equipment and hire technicians when required.
  • Monitor office supplies; order and re‑stock as needed.
  • Ensure the office is kept clean and always organized.
  • Manage and make all applicable services, utilities payment as needed.
  • Maintain positive and professional staff and client relationships.
  • Run out‑of‑office errands as needed and other applicable assignments.

Administrative Assistant Requirements and Qualifications:

  • Legally allowed to work in the U.S.
  • High school diploma or GED equivalent required.
  • 2+ years’ experience as an administrative assistant preferred.
  • Fast, proficient, and accurate typing.
  • Basic knowledge of QuickBooks with the desire to learn.
  • Spanish at a conversational level or higher.
  • Extensive knowledge of Microsoft Suite and other administrative programs.
  • Outstanding communicator, both oral and written.
  • Excellent customer service skills and proactive.
  • Self‑starter who works well independently without supervision.
  • Ability to prioritize given tasks and work efficiently towards completing them.
  • Familiar with common office equipment (printers, copier, fax, etc.).
  • Detail‑oriented and exceptional organization skills.
  • Experience with complex file management.
  • Strong problem‑solver and analytical thinker.

Compensation: $20/hour
