Position Highlights

Full‑time (40 hours per week)

First shift (7:30 AM – 4:00 PM)

The Role

Assist in the operation of the garage by performing a full range of general clerical and maintenance assistance functions.

Perform numerous office and record‑keeping duties that require precision, accuracy, and a sense of urgency, directly relating to public safety.

Use Microsoft Word, Excel, PeopleSoft (Core‑CT), STARS, and Analytical Reporting Systems extensively in daily duties.

Support an active office that can be extremely busy, balancing several deadlines while staying proactive.

Interact with and provide information to diverse populations verbally and in writing.

Use interpersonal skills to communicate effectively with the public, address concerns, and manage emergencies.

Requirements

Willingness to accept assignment to emergency duties, including mandatory winter overtime (Nov 1 – Apr 30).

Ability to stay at work during storm events, possibly several days including holidays and weekends.

Residency within 20 miles of the posted job location.

Purpose of Job Class Accounts for general clerical and maintenance assistance functions in the operation of a DOT garage.

Examples of Duties

Type and record various documents accurately and efficiently.

Correct drafts for conformance with original documents.

Enter and retrieve data on personal computers.

Maintain logs, files, and records.

Prepare and send standard form letters.

Compile information from standard sources and prepare reports.

Answer telephone calls, take messages, and manage visits.

Perform basic processing tasks, inventory, and coding of work orders.

Take minutes at meetings and conduct fact‑findings.

Operate radio communications and perform general facility maintenance.

Assist in emergency coordination and dispatch.

Assist with material handling and various related duties.

Knowledge, Skill and Ability

Knowledge of office systems, procedures, spelling, punctuation, and grammar.

Interpersonal, oral, and written communication skills.

Arithmetic computations.

Operate computers, tablets, and other office equipment.

Perform basic clerical and maintenance tasks.

Minimum Qualifications – General Experience One year of general clerical work experience.

Minimum Qualifications – Substitutions Allowed One year of general maintenance support experience that includes a substantial portion of time on related clerical duties may substitute for the general experience requirement.

Preferred Qualifications

Experience with Microsoft 365 suite.

Recordkeeping experience.

Payroll processing experience.

Prioritizing work and managing deadlines.

Phone call handling and messages.

File sorting and filing.

Email handling and scheduling with Outlook.

Special Requirements Incumbents must be willing to accept emergency duties, including snow and ice removal and office support as required.

Physical Requirements

Require sufficient strength, stamina, agility, visual, and auditory acuity.

May require a physical examination.

Working Conditions Exposed to extreme weather, moderate weight lifting, poison ivy, insect bites, and loud machinery.
