We are seeking an experienced and motivated Intake Manager to lead and optimize the firm’s client intake department — the front line of communication for individuals seeking justice after life-changing events. This role is critical to ensuring that every prospective client receives the highest level of care, empathy, and responsiveness from their very first call. Key Responsibilities
Oversee daily operations
of the intake team, ensuring all calls, web leads, and referrals are handled with professionalism and empathy.
Serve as the
first point of contact
for potential clients — setting the tone for trust, compassion, and confidence in the firm’s services.
Train, mentor, and coach
intake specialists to consistently deliver high-quality client interactions and accurate eligibility assessments.
Implement and monitor
intake performance metrics
(response time, conversion rate, call quality, etc.) to drive team efficiency and success.
Coordinate onboarding
for new clients, ensuring all documentation, medical records, and case details are captured accurately.
Collaborate with attorneys and case managers to ensure a seamless transition from intake to active case management.
Identify and recommend
process improvements and technology enhancements
to streamline workflows and enhance data accuracy.
Maintain and enforce
quality assurance standards , reviewing calls and documentation for professionalism, compliance, and completeness.
Contribute to the firm’s growth by fostering a
positive, collaborative, and client-centered culture
within the intake department.
Qualifications
3+ years of experience
managing or leading intake operations in a personal injury law firm (or closely related legal environment).
Strong understanding of
personal injury case intake, client eligibility assessment, and insurance claim setup .
Proven ability to
train, motivate, and develop
high-performing teams.
Excellent verbal and written communication skills, with a compassionate approach to client service.
Proficiency with CRM and case management systems (e.g.,
Litify, CasePeer, RingCentral ).
Strong organizational, analytical, and multitasking skills.
Bilingual (English/Spanish)
preferred but not required.
High emotional intelligence and professionalism when dealing with sensitive client matters.
Salary Range Salary Range:
$85,000 – $135,000 (commensurate with experience) + Bonuses
