Assistant Director of Student Affairs
Biological Sciences Division, University of Chicago.
Pay Range $60,000.00 - $75,000.00 per year.
Job Summary The Assistant Director of Student Affairs is responsible for all administrative aspects of the Interdisciplinary Scientist Training Program (ISTP) and works closely with faculty directors, admissions, and curriculum.
Responsibilities
Monitors the day‑to‑day operations of ISTP and addresses student concerns.
Organizes the annual course listing and catalog updates.
Manages quarterly registration, graduation processes, and course evaluations.
Coordinates quarterly ISTP Journal Club and collaborates with Pritzker School of Medicine.
Tracks student academic progress and publications using university systems.
Certifies program requirements are met, including milestones such as lab rotations, comprehensive exams, and thesis defenses.
Serves as main student contact for external fellowship applications.
Maintains the ISTP website and social media presence.
Supports renewal and annual progress reports for the Medical Scientist Training Program (MSTP) training grant.
Maintains faculty trainer records and tracks alumni outcomes.
Assists in coordinating alumni events and student issues that require divisional intervention.
Manages special events including the Annual Retreat, Grand Rounds, and symposia.
Supports admissions processes such as Admissions Days and Revisit Weekend.
Recommends process improvements for student‑life and emergency management.
Performs other related work as needed.
Qualifications
Education:
Minimum 4‑year college degree in a related field; advanced degree in life sciences or business administration strongly preferred.
Experience:
3 years of administrative experience in student affairs; 2‑5 years in a related discipline; federal grant management experience; familiarity with medical school application processes.
Technical Skills:
Mastery of Microsoft Office and Adobe Suite; familiarity with social media platforms, video production, cloud‑based data management (e.g., Stellic, AIS, CIM, AMP); university financial systems knowledge (e.g., Oracle).
Competencies:
Flexibility and multitasking; effective communication with faculty, graduate students, and administrative offices; excellent organizational skills; attention to detail; deadline management; confidentiality; problem‑solving and conflict management; independent and team work.
