Job Description What We're Looking For
Baylor University is seeking an Academic Program Manager in the Occupational Therapy department. The Academic Program Manager provides oversight and coordination of administrative tasks that support the academic functions of the department, including the recruitment and hiring process for adjunct faculty. This role also assists with the departmental faculty and staff hiring processes to ensure effective, efficient departmental operations that follow University guidelines. Additionally, the Academic Program Manager offers administrative support to ensure compliance with accreditation and university standards, ensuring the smooth functioning of academic affairs within the department.
A bachelor's degree and two years of relevant work experience are required. A bachelor's degree and four years of relevant work experience are preferred. A combination of education and work experience will be considered in lieu of the required degree and/or years of experience.
Additional requirements include:
Strong time management, communication, and organizational skills
Advanced knowledge in planning, conflict resolution, and coordination
Demonstrates confidence in interpersonal and multichannel communication and teamwork, including the ability to work independently and as a team member
Travel is an expectation and requirement of this position
Rare weekend work may be required
Applicants must currently be authorized to work in the United States on a Full-Time basis.
What You Will Do
Assist in establishing and enforcing departmental standards, policies, and procedures, which align with University policies and procedures, for the purpose of planning, recruiting, hiring, and retention of department-specific adjunct faculty, core faculty, and staff
Contribute to an environment that supports faculty, staff, and students working together for the attainment of student success and departmental strategic plan
Solicit, create, and maintain current website and learning management system content for the recruitment, hiring, and training of adjunct faculty, core faculty, and staff
Maintain adjunct faculty and core faculty records compliant with University and College personnel, fiscal policies, and program-specific accreditation standards
Ensure adjunct faculty have an up-to-date TX OT license (OT)
Manage travel expenditures to support safe, timely travel for core faculty, adjunct faculty, and staff including travel tracker, travel support resources (Concur, travel agencies, etc.), rental car requirements, expense report instructions
Maintain and update policies and procedures related to the administrative and academic functions of the department, including the Department, Program and Faculty Handbooks, in accordance with departmental, accreditation, and University standards
Collaborate with University partners as needed to ensure consistency of published policies, procedures, and programmatic requirements
Support course lead faculty/coordinators in adjunct faculty planning, utilization, and evaluation
Support Director of Curriculum in planning and execution course creation and management
Collect data from a wide variety of sources regarding student, faculty, and program outcomes and data for the purposes of program evaluation, strategic planning, and accreditation reports
Support the coordination and publication of academic program calendars with the Director of Curriculum/Program Directors and shared Office Manager
Provide support during on-site events and activities, including assisting with set‑up, coordination, and cleanup, when requested
Perform other duties as assigned by the Director of Administrative Affairs
Perform all other duties as assigned to support Baylor’s mission
Ability to comply with University policies
Maintain regular and punctual attendance
