OVERVIEW The Payroll Specialist will independently handle a wide range of administrative and payroll related tasks, must be exceedingly well organized, detail-oriented, flexible, and enjoy the administrative challenges of supporting multi site-wide team of diverse people and programs. The successful candidate will also have excellent communication and computer skills with ability to interact with staff (at all levels) in a fast-paced, deadline driven environment. This role also requires the ability to remain calm in high-pressure situations while being proactive, resourceful, and efficient and maintaining a high level of professionalism, confidentiality, and integrity in dealing with sensitive information. The payroll Analyst works closely with HR and Finance to maintain efficient and compliant payroll operations.

DETAILED ROLES & RESPONSIBILITIES

Administers weekly hourly union and non-union employee payroll via Kronos, Simple Farm and SAP

Verify employee hours and schedules.

Add and manage pay codes in Kronos time and attendance system relating to Paid Leaves, Short Term Disability, FMLA, etc.

Update and send forms to corporate payroll department for processing.

Pay out vacation, bonus, incentives, short pays and pay advances

Administer rate increases and shift differentials

Prepare payroll reports for management and auditing purposes

Respond to employees inquiries regarding pay, deductions, and tax withholding

Promptly address employee questions, providing clear and accurate information to resolve concerns efficiently in a professional and courteous manner

Expense reimbursement to employees for out-of-pocket purchases for safety equipment

Performs testing in Kronos timekeeping and attendance system

Perform other administrative duties as needed

Process Employment Verifications forms

Maintain deductions

Collaborate with others department on other payroll functions, including but not limited to benefits, deductions, and reporting.

Able to work weekends and holidays, as needed

Maintain payroll records electronically

Maintain inventory of payroll related supplies

Other duties as assigned by HR Manager

PREFERRED EDUCATION AND WORK EXPERIENCE

Associate or bachelor’s degree in accounting Finance, or related field preferred

2+ years of payroll experience, strong knowledge of payroll laws, tax regulations, and compliance standards

Excellent attention to detail, accuracy, and confidentiality

Proficient in Microsoft Suite

Strong communication and organizational skills

Bilingual (English and Spanish)
