Allied OMS is a doctor‑owned, doctor‑led, and doctor‑governed management services organization (MSO) in the oral and maxillofacial surgery space. Position Summary
The Front Office Assistant plays a crucial role in supporting daily operations, staff coordination, and patient interactions to ensure a smooth workflow and effective communication. The role involves assisting with staff development, managing patient relationships, contributing to community outreach and marketing, and collaborating with practice leadership to implement efficient systems that align with the practice’s goals.
Responsibilities
- Greet and check in patients professionally and efficiently.
- Schedule, confirm, and manage patient appointments.
- Answer phone calls and respond to emails promptly and courteously.
- Examine documents for missing information and update patient charts as necessary.
- Accurately enter and update insurance information in patient records.
- Educate patients about insurance benefits and financial responsibilities.
- Assist with preparing and printing claims.
- Process pre‑authorizations and update treatment plans.
- Handle billing, co‑pays, and other payments accurately.
- Maintain and update patient records in compliance with HIPAA regulations.
- Ensure the reception area is clean, organized, and presentable daily.
- Perform monthly maintenance of the coffee machine.
- Check emails, faxes, and voicemails daily.
- Provide information about dental services to patients.
- Assist in daily office coordination and communication between staff and patients.
- Prepare and submit accurate insurance claims, ensuring regulatory compliance.
- Verify patient insurance benefits and coverage; obtain pre‑authorizations when necessary.
- Maintain accurate records of billing activity and patient communications.
- Ensure all processes comply with HIPAA regulations and internal confidentiality policies.
Qualifications
- High school diploma or equivalent required.
- Previous dental office experience preferred but not required.
- Strong knowledge of dental terminology and insurance billing procedures.
- Excellent organizational, communication, and problem‑solving skills.
- Detail‑oriented with the ability to manage multiple tasks efficiently.
- Comfortable using dental practice management software (experience is a plus).
- Clear understanding of confidentiality and patient privacy regulations.
Working Conditions / Physical Requirements
- Primarily in an office environment with a focus on administrative tasks.
- Mostly seated (70‑80% of the time); standing (20‑30%) as required.
- Frequent use of hands for typing, filing, and handling paperwork.
- Good vision required for reading documents, viewing billing statements, and using computer screens for extended periods.
